Facilitate the operational needs of the Brand & transversal teams.

1. Training, collaboration, and guidance. Assist in the Brand Teams' operational tasks such as travel arrangements, registrations, onboarding of new employees, trainee training, departmental changes, meeting organization, agenda preparation, general information management, CDAs, contracts, contacts, incident resolution, collaboration with agencies, material management, catering, etc.
2. Organize and support events including GIFT meetings, brand launches, and World Pso day.
3. Manage the agendas of Marketing Directors and other team members.

Budgets :

* Control and maintenance of departmental budgets.

POS & VIMs in eBuy :

* Create and control Purchase Orders (PO) within eBuy system.

Events Organization for Brand Teams :

* Oversee the annual calendar of department events, managing logistics and administrative tasks, and collaborating on related issues.
* Enter all events involving healthcare professionals (HCPs) into CRM and collaborate with entities where transfer of value occurs.
* Gather necessary information and documentation to initiate events, liaising with agencies and staff involved. This includes signed contracts, invoices, miscellaneous expenses, MAF, proof of payment, etc.

Specific Knowledge :

* Excellent written and spoken English and Spanish skills are essential.
* Advanced proficiency in MS Office, including PowerPoint and Excel.
* Contract management experience is a plus.

Education :

* Administrative education or similar background.

Experience :

* Over 5 years of experience as a department assistant.
* Experience supporting multiple leaders within a complex environment.
* Experience managing and following up on approved budgets.
* Experience in the pharmaceutical industry.
* Experience using VEEVA is mandatory.
