Overview
This is an exceptional opportunity for a highly experienced Family Office professional to join the private office of a prominent UHNW family. Candidates with a strong EA/PA background who have gradually taken on broader operational or business responsibilities within a family office environment would be particularly well suited to this role. Working closely with senior leadership, the successful candidate will support the Principals' personal and business affairs while helping to ensure the smooth day-to-day running of their life in Spain and internationally.
This is a senior hybrid role within a sophisticated family office structure, combining meaningful operational responsibility with a substantial amount of hands-on Personal and Executive Assistant support. The ideal candidate will be equally comfortable coordinating complex logistics, liaising with multiple teams and stakeholders, and handling the day-to-day practicalities typical of a PA/EA position at UHNW level. The Principals value a "no task is too small" attitude and it is essential that the candidate understands this.
The role will be primarily based in Marbella, acting as a key operational presence locally while closely coordinating wider international affairs.
Occasional international travel will be required.
Key Responsibilities
* Private Staff Leadership: Oversee and coordinate the family's private household team (housekeepers, nannies, chef, personal trainer, chauffeur), ensuring smooth daily operations and consistently high service standards across the residence.
* Household Operations: Work closely with on-site staff to ensure efficient household management, clear communication between departments, and alignment with the family's expectations and preferences.
* Complex Travel Management: Coordinate international travel arrangements for the principals and their family, including flights, accommodation, ground transportation, security arrangements, and staff logistics.
* Calendar & Time Management: Manage complex calendars across multiple time zones, coordinating personal, family, and business commitments while ensuring the principals' time is organised efficiently.
* Family Office Coordination: Work closely with the wider family office team to support the operational coordination of the family's business interests, investments, and personal affairs, ensuring clear communication between advisors, partners, and internal teams.
* Executive & Operational Support: Provide high-level executive and operational support including email correspondence, document preparation, expense management, meeting coordination, and follow-up on key projects and decisions.
* Liaison with Advisors & Partners: Act as a central coordination point between the principals, the family office, and external professionals including lawyers, accountants, business partners, and consultants.
* Personal Affairs Management: Oversee a wide range of personal matters for the principals and their family, ensuring discretion, efficiency, and seamless execution.
* Project Management: Assist with or oversee projects relating to the family's personal life, residences, or business interests, ensuring efficient execution and coordination between stakeholders.
Candidate Profile
* Experience: A minimum of 5 years' proven experience in a similar role within UHNW family offices is essential. Candidates without references to prove their experience will be discarded.
* Integrity & Discretion: This role requires the highest level of discretion, professionalism, and loyalty. The successful candidate must be someone the Principals and their office can trust completely.

Requirements
* Fluency in English and Spanish is essential
* Must be based in Marbella or willing to relocate
* Proven experience working within UHNW family offices
* Strong technical skills including Microsoft Office, Apple/iOS systems, and modern office tools
* Availability to travel internationally when required
* Valid driving license
* University degree advantageous but not essential
