Groups & Events Executive (Castillo Hotel Son Vida) Position purpose: Responsible for preparing all event documentation and coordinating with Sales, property departments and customers to ensure consistent, high-level service throughout pre-event, event and post-event phases of property events.
Responsibilities Ensure events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.
Prepare corporate event proposals and contracting of the event.
Greet customers during the event phase and hand off to the Event Operations team for execution of details.
Adhere to all standards, policies, and procedures.
Ensure billing accuracy and conduct bill reviews with clients prior to processing the final bill.
Lead customer site inspections.
Coordinate and communicate event details both verbally and in writing to customers and property operations.
Follow up with customers post-event.
Respond to and handle guest problems and complaints.
Conduct formal pre- and post-event meetings as required to review group needs and feedback.
Requirements / Qualifications Minimum of 2 years hotel sales experience – luxury brands preferred.
Communicates effectively, verbally and in writing as appropriate for the audience.
Technical acumen: the ability to connect with customers, detail events, upsell products and services, manage multiple customers at a time, be detail-oriented, understand and have a working knowledge of catering and event management systems (Opera and Marsha).
Languages: high level of Spanish and English; German is a plus.
