CHANEL is thrilled to announce an exciting opportunity! We are looking for a highly organized and detail‑oriented Retail Operation Support within the Spain Retail Team, reporting to the Retail Manager.

As a Retail Operation Support, you will play a key role in ensuring smooth and efficient operational processes across all retail and commercial channels, including Department Stores, Wholesale, and other retail networks. You will support the Retail teams by managing stock, product allocations, and sample processes, maintaining strong collaboration with both internal teams and external partners.
Responsibilities
- Local Stock Management (Ontime): Monitor locally stored materials, track shipments and expenses, follow forecasts, and propose actions to optimize stock movements.
- Samples & Cabine Forecast: Manage the allocation and distribution of samples, including cabine forecasts, in collaboration with Marketing and Supervisors.
- Uniform Management: Coordinate uniform orders twice a year. Consolidate needs, align with budget, place orders with France, and track deliveries. Handle incident resolution in collaboration with the teams.
- PO & Vendor Management: Create Purchase Orders (POs) and manage supplier onboarding for the entire Commercial Department, ensuring compliance with internal procedures.
- Shipping Support: Coordinate and oversee all shipments of materials for the Commercial Department, ensuring timely delivery and alignment with operational needs.
- Fleet Management: Oversee the management of company cars, including contracts, fines, and administrative follow‑up for all members of the Commercial Department.
- Team Events & Meetings Coordination: Support the organization of internal team events, including commercial meetings and team dinners, ensuring smooth logistics and coordination.
- Vendor Onboarding: Handle all administrative processes required to onboard new suppliers working with the commercial team.
- Stock & PBL Management: Be the main point of contact for the PBL stock management project. Coordinate with the PBL partner company on stock uploads, monitor stock evolution throughout the year and ensure alignment between PBL, field teams, and internal stakeholders.
- Catalogue Management: Monitor and manage the ECI client‑specific catalogue, including product assets, ECI exclusives by store type, updates, and removals.
- Logistics Sheet Preparation: Prepare and maintain ECI‑specific logistics sheets for all new product launches, ensuring accurate inclusion, allocation, and removal of items.
- Product Management: Prepare and update product allocation templates, share them with Beauty Confidants, collect quarterly orders, verify amounts, track deliveries, and resolve any discrepancies.
- Expense Coordination: Manage and consolidate Beauty Confidants’ expense sheets in collaboration with Finance.
- Communication & Support: Maintain close communication with Supervisors and Retail teams, providing ongoing support and resolving operational issues in a timely manner.
Qualifications
- Experience: At least 2–3 years in an operational, administrative, or retail coordination role.
- Organization & Rigor: Excellent planning skills, ability to manage multiple priorities and respect deadlines.
- Autonomy & Accountability: Capacity to follow up independently on tasks and deliver consistent results.
- Analytical Skills: Ability to interpret data and ensure accuracy across all reporting and operational processes.
- Excel Proficiency: Strong command of Excel for data tracking, analysis, and reporting.
- Communication: Clear and professional communication skills, both with internal teams and external partners.
- Languages: Fluent in Spanish; English will be a plus.
