The role
We are seeking a highly qualified and experienced professional to assume the role of Head of Facility Management who is excited by delivering timely and high-quality services in an international and dynamic scientific environment. Reporting directly to the Administrative Director, the Head of Facility Management is responsible for the maintenance and security of CRG spaces (around 10,000 m2 located in two sites: PRBB and Marenostrum Tower) and associated assets and equipment, as well as planning and building of new construction projects and refurbishments. They will provide leadership and management of the Facility Management team, comprising 9 staff members in total: 2 internal staff and 7 outsourced staff responsible for scientific maintenance, cleaning and sterilization, technical maintenance, waste management, and building maintenance.
The successful candidate will work closely with the scientific community and Administration staff, in particular with CRG technical-related services responsible for purchasing of scientific equipment, IT, scientific-technical services and floor managers.
Main duties and responsibilities :
* Design and manage infrastructure and general services to ensure smooth operation of laboratories, units, and offices.
* Supervise daily department operations (building and equipment maintenance and general services, construction and refurbishment works, emergency plan, sustainability) to deliver quality, timely and cost-effective services.
* Lead efforts to improve facility management processes, identify bottlenecks or improvement areas, and implement strategic solutions/projects on time, including energy, sustainability, scientific maintenance equipment and renovation plans.
* Manage the infrastructure and general services budget, including negotiations with providers, management of outsourced services, preparation and writing of technical documentation for public tenders related to infrastructure procurement, and maintenance of contracts within public procurement and funding agency regulations, ensuring cost effectiveness while maintaining high quality and service.
* Recruit, train, and lead internal and outsourced staff, including the sterilization/cleaning team and maintenance technician.
* Regularly check that Facility Management policies, procedures and service levels are properly implemented.
* Develop best practices and written documentation, and assess the department activity using KPIs.
* Oversee hazardous waste management and represent Facility Management in CRG committees (Technical, Occupational Risk Prevention, Sustainability) and external committees;
serve as the Headof Emergencies for CRG.
* Maintain up-to-date knowledge of relevant legislation and adapt policies and practices as needed.
About the department
The Facility Management Department is responsible for the maintenance, security and emergency plan protocols of the CRG spaces (around 10,000 m2 located in two sites: PRBB and Marenostrum Tower) and associated assets and equipment, as well as planning and building of new construction projects, including refurbishments and modifications.
The specific services offered include:
* Maintenance and general services of the spaces and equipment.
* Planning and building of new construction projects.
* Sustainability.
* Other responsibilities include general services related to the building: gas, water, plumbing, electricity, cooling, heating, ventilation, air-conditioning, waste disposal, including biohazardous waste.
Whom would we like to hire?
Professional experience
Must Have
* Minimum of 5 years of experience in a senior facility management role, preferably within an international research or academic environment.
* Proven experience in leading and managing teams.
* Knowledge of Health & Safety regulations and/or Emergency Plan protocols.
Desirable but not required / Nice to have
* Knowledge of public procurement processes.
Education and training
* Higher education degree (or qualification) equivalent to a master’s degree in Facility Management, Engineering, Architecture, or a related technical field.
* Specialised training in project management is a plus.
Languages
* Advanced level of English and Spanish, spoken and written.
* Catalan will be an advantage.
Technical skills
* Excellent command of MS Office (Excel, Word, PowerPoint, Outlook).
* Proficient in AutoCAD drawing software.
* Experience with Microsoft Project software.
* Knowledge of ERP (Oracle or SAP) will be an advantage.
* Sound knowledge in Spanish public tender legislation.
* Familiarity with Maintenance Management Systems or other ticketing systems is advantageous.
