Omega CRM Consulting is looking for a PMO that would like to collaborate with one of the top global pharmaceutical companies.

Main Responsabilities

1. Governance & Coordination
- Lead and moderate weekly PMO meetings and Scrum ceremonies, including agenda preparation and follow-up.
- Facilitate bi-weekly Workstream Leads meetings, ensuring alignment across IT, Business, and Veeva stakeholders.
- Align with Global Veeva PMO, US PMO, and local PMOs to ensure consistency in planning, execution, and reporting.
- Support SteerCo and Sponsor meetings by preparing materials and writing minutes (or coordinating with Karla if delegated).
2. Documentation & Knowledge Management
- Maintain and evolve the dedicated Confluence space, including:
• Risk Log
• Decision Log
• Project Plan
• JIRA Board
• Access and Service Catalog Requests
- Build and consolidate documentation in SharePoint for broader team access.
3. Access & Onboarding
- Coordinate onboarding and access provisioning including external vendors for Global initiatives.
- Collaborate with business leads to ensure US-specific access requests are handled locally.
4. Financial Oversight
- Support budget tracking and forecasting.
- Maintain visibility into P360 financials and ensure alignment with program milestones.
5. Reporting & Communication
- Prepare and present status reports for SteerCo, Sponsors, and stakeholders.
- Ensure transparency on program progress, risks, and decisions.
- Maintain alignment with business and IT leads on deliverables and timelines.
6. Risk & Issue Management
- Maintain and update the Risk and Decision Logs in Confluence.
- Proactively identify, escalate, and track resolution of risks and issues.
7. Support for Program Leads
- Provide operational and strategic support to both IT and Business Program Leads, including:
• Coordination of cross-functional dependencies
• Support in defining and tracking work packages
• Ensuring alignment with overarching program goals and timelines
8. Methodology & Tools
- Support the adoption of Scrumban or hybrid agile methodologies.
- Define and enforce standards for JIRA usage, including:
• Hierarchy
• Roles and permissions
• Reporting filters and labels

Experience / Skills

5 to 7 years of experience in Project/Program Management roles or within a Project Management Office (PMO) .
Proven track record in complex, multi-regional programs, preferably related to digital or CRM transformation (e.g., Veeva, Salesforce).
Involvement in projects with multiple stakeholders : business, IT, external vendors, and global teams.
Coordination of Agile ceremonies (Scrum, Scrumban) and executive meetings (SteerCo).
Experience in budget tracking, risk management, access control, and providing operational support to program leads .
Advanced proficiency in tools such as JIRA, Confluence, SharePoint, Excel, and reporting/visualization tools ( Power BI, Tableau is a plus).
Practical knowledge of Agile and hybrid methodologies (Scrum, Scrumban, Agile@Scale, SAFe).
Expertise in structuring project documentation: Project Plans, Risk Logs, Decision Logs, RACI matrices, etc.
Ability to coordinate onboarding and access provisioning processes, including for external vendors.
Strong capability to align technical deliverables with business objectives .
Bachelor’s degree in Business Administration, Engineering, Information Technology, or related field.
