We are looking for a Research Project Manager to support the administrative and operational coordination of a Horizon Europe research project at Universidad Carlos III de Madrid. You will work directly with the Principal Investigator and the consortium to keep the project running smoothly on the financial, contractual, and organisational side, so the research team can focus on the science. Success in this role means clean, on-time reporting, well-run consortium coordination, and a PI who can rely on the project's administration being fully under control.
Responsibilities
- Manage day-to-day project administration: timelines, milestones, deliverables, and internal deadlines.
- Coordinate financial reporting and cost claims in line with the Grant Agreement (effort/timesheets, periodic financial statements, audits).
- Act as the administrative point of contact for consortium partners and liaise with the EU Project Officer via the Funding & Tenders Portal.
- Prepare and follow up on consortium meetings, General Assemblies, and project reviews (agendas, minutes, action tracking).
- Support compliance: ethics, data management (DMP), and reporting obligations.
- Assist with dissemination, communication, and event logistics.
- Interface with UC3M's research support and finance offices on contracts, procurement, and hiring.
Qualifications
- University degree in administration, economics, project management, or a related field (a technical or scientific background is welcome).
- Experience administering EU-funded projects (Horizon Europe / H2020), or comparable competitively-funded research projects.
- Familiarity with the EU Funding & Tenders Portal, Grant Agreements, and reporting cycles.
- Strong organisational skills and the ability to manage multiple deadlines independently.
- Native or fully bilingual command of Spanish (C2) — required; working proficiency in English, the consortium working language.
- Confident with spreadsheets and standard office/collaboration tools.
- Must be based in and authorized to work in Spain.
Nice to have: prior experience in a university or research-institute environment, and knowledge of Spanish public-sector procurement and hiring procedures. What we offer: a fixed-term contract for the duration of the project (36 monhts), full-time, on-site in Leganés (Madrid), within a collaborative international research environment at one of Spain's leading technical universities. Salary according to UC3M scales.
