At Factorial, we're looking for a passionate and proactive Office Manager to join our team temporarily from
October 2025 to April 2026
and help us run all our beautiful office tasks.

The Role

We're looking for an
experienced Office Manager
to oversee the daily operations of our current office and support the transition to our brand-new headquarters later this year. You'll play a key role in ensuring a smooth, efficient, and welcoming office experience for everyone at Factorial.

This is a
hands-on role
that requires a highly organized and proactive individual, comfortable managing both
front desk responsibilities
and
back-office operations
. From coordinating with suppliers to overseeing facilities and supporting employees, you'll be the go-to person for all office-related matters.

You'll report directly to the
Corporate Services & Events
team and collaborate closely with multiple teams across the company.

What You'll Be Doing:

Office Operations & Facilities Management

- Supervise daily office operations, ensuring everything runs smoothly.

- Manage and coordinate office maintenance, overseeing facility services, cleaning, and maintenance.

- Ensure the office is well-stocked with necessary supplies and oversee inventory management.

- Handle incoming and outgoing correspondence, including mail and deliveries.

- Ensure compliance with corporate regulations, safety protocols, and local fire codes.

Supplier & Vendor Management

- Research and incorporate if needed new vendors to provide services aligned with the company's needs (cleaning, catering, office supplies, etc.). Constant benchmarking.

- Negotiate contracts and maintain good relationships with service providers.

- Monitor expenses, manage budgets, and ensure cost-effective operations.

Front Desk & Administrative Support

- Act as the first point of contact for visitors, ensuring a professional and welcoming reception.

- Manage meeting room schedules and support internal events and gatherings.

- Provide administrative support to different teams as needed.

- Develop and maintain office procedures and operational policies.

Employee & Event Support

- Ensure all employees have a comfortable and productive office environment.

- Support and coordinate the organization of office events, after-works, and company activities.

What We're Looking For:

- Fluent Spanish
and
good level of English
(written and spoken).

- Proven experience in
office management or facilities management and front desk.

- Strong
organizational, communication, and multitasking skills.

- Problem-solving mindset and a hands-on, "can-do" attitude.

- Availability to work
on-site
daily (
this is not a remote role
).

- Flexibility for occasional
after-hours support
(events, emergencies, etc.).
