At fundcraft, we are redefining fund operations through technology, making fund management faster, smarter, and more efficient. As we continue to grow, we are looking for an Onboarding Manager to join our Client Solutions team in Luxembourg.
As an Onboarding Manager in the Client Solution department, you will be responsible for ensuring a seamless and structured onboarding experience for fundcraft's new clients. You will act as a key liaison between the client, external and internal stakeholders, ensuring that every onboarding milestone is met with efficiency, clarity, and a high standard of delivery.
From the moment clients sign our onboarding letter, you will take ownership of the onboarding journey, whether these are new funds to be created or existing funds that are migrated to fundcraft. You will align expectations, and ensure compliance with operational and regulatory requirements. Your role is to drive a smooth transition into fundcraft's ecosystem by closely managing timelines, dependencies, and deliverables.
Throughout this process, you will coordinate cross-functional teams —including Product, Tech, Internal Operations, Compliance, and Client Success—to guarantee that all required steps are completed before the client transitions into the active product delivery phase. Your goal is to proactively identify and mitigate risks, optimize processes, and ensure that clients receive a best-in-class onboarding experience. You will also ensure that external stakeholders—such as lawyers, incumbent service providers, and depositary banks—fulfill their respective obligations. By the time the handover to the Client Success team takes place, the client should have a fully operational setup, clear guidance on fundcraft's platform and services, and confidence in the partnership moving forward.
This role demands a combination of strategic oversight, hands-on project management, and exceptional communication skills to drive a seamless onboarding process and ensure client satisfaction from day one.
This is a position based in Girona and reporting directly to the Head of Client Solutions.
Key responsibilities:

* Serve as the primary point of contact for clients during the onboarding and migration phase
* Negotiate migration plans with clients and incumbent service providers
* Guide clients through the definition of the Cooperation Memorandum, ensuring alignment on expectations, processes, and timelines
* Prepare contract documentation pack
* Coordinate across internal teams (Sales, Client Success, Product Delivery Expert Units, etc.) to ensure timely setup and implementation of new clients as well as the new fund launches of existing clients
* Develop and manage structured onboarding and migration workflows to ensure a consistent and efficient client experience
* Continuously improve the onboarding and migration process based on client feedback and internal learnings
* Provide clients with clear, timely updates on onboarding and migration progress
* Collaborate with the Client Success team for a structured handover, ensuring all necessary information is transferred for ongoing client support
* Maintain up-to-date records of onboarding and migration status, key milestones, and client requirements
* Prepare reports and insights on onboarding and migration performance, identifying areas for improvement
Requirements
Qualifications & Experience:
* Degree in Business, Finance or Law or equivalent by experience
* Have 3+ years of professional experience in Audit, Finance, Business, Law or any other relevant field
* Familiarity with alternative investment funds
* Strong project management skills
* Excellent communication and leadership abilities
* Ability to work collaboratively in a fast-paced environment
* Ability to handle complex deliverables across a number of stakeholders
* English: fluent level (spoken and written), French or Spanish is a plus
