🔍Office Manager (with Facilities & Management Support for Barcelona)

📍Location: Madrid, Spain

🕓Type: Full-time / On-site


About the Role

As our Office Manager in Madrid, you will be the beating heart of our daily operations— a true “wearer of many hats.” You ensure our teams, visitors, and leaders feel supported, welcomed, and empowered to do their best work. You oversee the smooth running of both our Madrid office and selected facility and purchase responsibilities for our Barcelona office, while also providing administrative support to C‑level leadership and a division head.

Your Responsibilities

* Office & Facility Management (Madrid & Barcelona)
Create a warm, professional, and welcoming environment for colleagues, clients, and visitors—whether in person, by phone, or via email.
Ensure offices (Madrid primarily, Barcelona remotely) remain tidy, functional, and aligned with our company values.
Manage purchases, supplies, deliveries, and relationships with external vendors.
Coordinate cleaning services, oversee maintenance tasks, and ensure all office spaces are well maintained.
Ensure meeting rooms are prepared, stocked, and equipped.
Ensure communal spaces are organized, replenished, and pleasant (drinks, plants, recycling, etc.).
Support facility‑related activities for the Barcelona office, including purchasing, maintenance coordination, and event logistics.
* Administration & Back‑Office Support
Provide administrative support for HR onboarding and offboarding using different checklists and platforms.
Support in providing portable stone new employees in collaboration with our IT team.
Support training coordination: scheduling, participant management, room preparation, and catering.
Assist in fleet management, documentation, and service coordination.
Maintain efficient office procedures and internal systems.
* Event Coordination
Organize internal and external events, workshops, and team activities for both Madrid and Barcelona offices.
Coordinate logistics, invitations, catering, materials, and follow‑up.
Support company‑wide initiatives and celebrations to enhance team spirit.
* Management Assistance (C‑Level + Division Head)
Provide proactive administrative support including agenda management and travel arrangements.
Serve as an organizational point of contact and gatekeeper when needed.
Ensure effective communication flow and handle confidential information with discretion.


Who You Are

Warm, energetic, and service‑oriented personality who loves working with people.

Native Spanish speaker with excellent communication skills in English.

Strong sense of ownership and the ability to work independently with limited supervision.

Bachelor’s degree and prior experience in office management (junior profiles welcome).

Excellent MS Office skills and quick adaptation to new tools and systems.

Organized, detail‑oriented, and able to prioritize effectively.

An natural problem solver who enjoys a bit of positive pressure.

Flexible, reliable, loyal, discrete, accurate, and always a team player.
