Job Description
Position Title: Operations Documentation & Compliance Administrator
Work Set-up: Onsite 7:00 AM – 3:00 PM PHT
Salary: Php 40,000-Php 45,000
Holiday: AU Holiday
The Operations Documentation & Compliance Administrator is responsible for managing high-volume, precision-based compliance documentation and administrative workflows. This role ensures that evacuation diagrams, training certificates, invoice follow-ups, and CRM records are completed accurately, professionally, and on time.

This is not a general administrative role. The position requires exceptional attention to detail, structured process execution, and independent ownership. The Operations Documentation & Compliance Administrator plays a critical role in reducing backlog, maintaining 99%+ document accuracy, and supporting operational scalability as the business grows.

Responsibilities as a Operations Documentation & Compliance Administrator:

• Evacuation Diagram Administration (Primary Focus):
Create and update evacuation diagrams using internal software
Ensure strict compliance with relevant Australian Standards
Maintain version control and document accuracy
Prepare final files for client delivery
Maintain structured file storage across OneDrive and server
Systematically clear and manage existing diagram backlog
Reduce turnaround times while maintaining 99%+ accuracy
• Certificates of Completion-
Generate training certificates using approved templates
Accurately update participant names, addresses, and course details
Ensure formatting consistency and zero compliance errors
Prepare files for printing and distribution
Maintain certificate records for audit purposes
Support weekly training output volume
• Invoice Follow-Up (Debtor Support)-
Send reminder emails for outstanding invoices
Make polite but firm follow-up calls when required
Maintain structured debtor tracking records
Escalate payment concerns when necessary
Assist in developing a structured debtor management process
• Quote Follow-Up-
Track issued quotes and monitor response timelines
Follow up with clients via email and phone
Update CRM (GoHighLevel) with accurate status notes
Report conversion and follow-up status to management
• CRM Data Hygiene (GoHighLevel)-
Perform accurate data entry
Maintain clean and structured client records
Remove duplicates and outdated information
Ensure documentation is attached correctly
Maintain structured pipeline updates

Qualifications as a Operations Documentation & Compliance Administrator:
• Education-
Bachelor’s degree in Business Administration, Management, or related field preferred but not required
• Experience-
3–5+ years in a high-volume administrative or compliance-focused role
Proven experience handling detail-critical documentation
Experience working with structured templates and compliance records
Experience in security, construction, fire compliance, or training industries preferred
Comfortable working independently without constant supervision
• Technical Skills-
Advanced Microsoft 365 capability (Word, Excel, Outlook)
High typing speed with strong data accuracy
Comfortable working across server environments and OneDrive
Ability to quickly learn internal software systems
Experience with CRM platforms (GoHighLevel preferred)
Experience generating formal compliance documentation
