Position Overview
The Sales & Events Coordinator plays a key role in driving revenue through private events, group bookings, and celebrations at Nikki Beach Ibiza. This position is responsible for managing the full lifecycle of events, from initial inquiry to execution and post-event follow-up, ensuring exceptional service delivery, operational excellence, and memorable guest experiences aligned with the Nikki Beach brand.
Working closely with the Regional Sales & Events Manager and General Manager, the role requires strong coordination skills, commercial awareness, and a proactive, hands-on approach in a fast-paced luxury hospitality environment.
Key Responsibilities
* Ensure the achievement of the season's sales and events budget targets.
* Act as the main point of contact for all private events and group reservation inquiries from initial request through to execution, follow-up, and wrap-up.
* Maintain daily communication with clients, partners, and suppliers to ensure events meet and exceed expectations.
* Manage all operational and administrative aspects of events, including:
* Preparing contracts and proposals
* Creating detailed BEOs
* Managing invoices and documentation
* Booking artists and entertainment
* Maintaining accurate records in the event tracker
* Source, negotiate, and manage supplier relationships (e.g., furniture, lighting, sound, technical services).
* Ensure DJ and entertainment contracts comply with Spanish legislation.
* Analyze event performance and prepare post-event reports and P&Ls in collaboration with Management.
* Take a proactive approach to troubleshooting and resolving issues on event days.
* Coordinate and organize staff during events, ensuring smooth execution and strong teamwork.
* Develop and maintain relationships with DMCs, wedding planners, and agencies to position Nikki Beach Ibiza as a preferred destination for private celebrations.
* Support day-to-day venue operations and assist with additional tasks as required by Management.
What We're Looking For
* Excellent communication skills with fluency in English and Spanish (additional languages are an advantage).
* Able to start as soon as possible
* Previous experience in events, weddings, group sales, or a similar role within the hospitality industry.
* Ability to work independently in a fast-paced environment while meeting deadlines and sales targets.
* Highly organized, self-motivated, and detail-oriented with strong problem-solving skills.
* A solid understanding of luxury branding and the importance of personalized, high-touch customer service.
* Confident and professional communicator capable of building strong relationships with agencies, DMCs, and external partners.
