Role Summary

The Customer Service and Office Administration Associate plays a vital role within our organization, directly interacting with clients, trainers, sales representatives, and executive management. This position manages daily administrative functions, coordinates effective communication between clients and trainers, and ensures the highest level of customer satisfaction throughout our training programs.

Key Responsibilities

* Serve as the primary point of contact for clients, handling inquiries, addressing issues proactively, and providing excellent customer service.
* Facilitate clear and effective communication between trainers, clients, and internal teams.
* Manage administrative tasks including scheduling, data entry, and correspondence through platforms such as Google Workspace, Excel, and HubSpot.
* Track trainer payments, ensuring accuracy and timely processing.
* Report client feedback and operational challenges to management, proactively suggesting solutions to improve client satisfaction.
* Assist executive leadership in meeting coordination and schedule management.
* Continuously seek ways to streamline and enhance administrative and customer service processes.

Skills and Qualifications

* 2-3 years of relevant experience in customer service, office administration, or a similar client-facing role.
* Proficiency in Microsoft Excel, Google Drive, and HubSpot.
* Exceptional written and verbal communication skills in professional-level American English.
* Strong organizational skills, attention to detail, and ability to handle multiple tasks in a fast-paced environment.
* Problem-solving mindset with the ability to identify, report, and proactively resolve client-related issues.

Working Hours

Due to our operations primarily serving the U.S. market, candidates must be available to work evening shifts to align with standard U.S. business hours.
