GLOBAL HEARTH SUMMIT (Europe/Middle East) – The Wellbeing Project (TWP) is focused on cultivating a healthier field of social change and developing a supportive infrastructure for people working in the field.
The GHS Event Production Senior Manager will oversee the production agency hired to support the organisation of the Global Hearth Summit (GHS). The third edition of this four-day event is expected to convene 1,000 global changemakers and will be held in late spring in Asia, most probably in Japan. The role supports the Wellbeing Summit Lead and the Wellbeing Summit Director in organizing the GHS.
The ideal candidate has proven experience leading production for large, complex events, can manage timelines and deadlines, assess priorities, and anticipate risks. Strong organization, autonomy in a fast-paced environment, and excellent English (additional languages such as Spanish, French, or Japanese are a plus) are important. The role requires a solutions‑oriented, independent, yet collaborative and team‑minded approach, with a passion for social change and an interest in personal inner work and the arts.
This role includes supervising the production of a global event consisting of plenary sessions, workshops, social gatherings, connection moments, artistic experiences, and other meaningful activities.
Collaboration and Team
The GHS Event Production Senior Manager reports to the Hearth Summit Director and is part of the core GHS team, collaborating with roles such as Travel & Accommodation Senior Manager, Community Engagement Senior Manager, and GHS Manager. The role also supports the GHS Curation Teams (Conference Content Curation and Arts Curation) and may advise on event production for the broader TWP team hosting internal events around the Summit location.
Key Responsibilities
Reporting directly to the Hearth Summit Director, the Senior Manager leads coordination, management, and implementation of the event, supervising the daily work with the production agency and other external providers.
Event Project Management: Create and update road maps and timelines; track progress and ensure timely execution.
Maintain visibility of moving parts and dependencies while keeping the big picture in mind to align key actors.
Support production budget coordination for the GHS Director.
Vendor Selection, Management, and Coordination: With the GHS Director, prepare briefs, research and select the production agency, and be the primary point of contact with the execution team.
Facilitate daily communication and coordination between the GHS team and external vendors.
Internal Coordination and Execution: Coordinate work between GHS and TWP teams (e.g., Conference Content Curation, Arts Curation, Community Engagement, Fundraising, Communication).
Additional elements include potential small internal events in the host city and ongoing GHS Team calls, travel to the host city, and yearly project team retreats.
Skills and Qualifications
5–7 years in a similar role in event management/production.
Experience planning, organizing, coordinating, and producing in-person large-scale events.
Excellent written and spoken English; French, Spanish, and/or Japanese a plus.
Proficiency in Excel, Word, PowerPoint (and/or Apple equivalents) and time-management tools.
Well organized, dependable, detail-oriented, and thorough.
Proactive, able to multitask with an entrepreneurial mindset; strong decision‑making skills.
Flexible to last‑minute changes and creative problem-solving.
Ability to work independently and as part of a team; culturally aware with a global perspective.
Comfortable with flexible working hours across multiple time zones.
People-oriented, respectful and clear in internal communications.
University degree.
Available to start March 1st, with 80% availability initially and 100% from 12 months before the event; based in Europe or the Middle East to maximize shared working hours with Asia.
