Role Overview:
The Overlay & Technical Planning Executive supports the planning and on-site delivery of temporary hospitality and event infrastructure for large-scale sports and live events. The role focuses on AutoCAD-based technical drawings, overlay coordination, and supplier integration, ensuring layouts are accurate, compliant, and aligned with operational requirements.
Working closely with internal teams and external suppliers, this position bridges technical planning and live event execution, supporting build-up, event days, and dismantle. The role suits someone detail-oriented, operationally minded, and comfortable working in fast-paced, live event environments.
Key Responsibilities
1. Technical Drawings & Overlay Planning
· Produce and update AutoCAD drawings for hospitality structures, back-of-house layouts, overlay zones, utilities and temporary infrastructure.
· Maintain version control and change tracking on all plans.
· Integrate supplier technical drawings (structures, kitchens, power, water, HVAC, etc.).
· Coordinate space allocation for FOH, BOH, storage, technical rooms and operational flow.
· Ensure drawings are aligned with licensing and local authority requirements.
1. Overlay Infrastructure Support
· Support the scoping and coordination of temporary infrastructure:
o Power distribution
o Water & waste systems
o HVAC
o Temporary kitchens
o Signage & branding
· Review supplier submissions and technical packs.
· Assist in verifying quantities, layouts, and technical compliance.
· Support utilities load calculations and space planning.
1. FF&E & Fit-Out Coordination
· Support quantification and layout of furniture, fixtures and event equipment.
· Coordinate installation layouts with suppliers.
· Ensure alignment with event concept and operational requirements.
· Assist in monitoring installation quality and H&S compliance.
1. Procurement & Supplier Coordination
· Support technical review of supplier proposals.
· Follow up on technical clarifications and inclusions/exclusions.
· Track deliverables (drawings, method statements, H&S plans, certifications).
· Assist in supplier performance monitoring during build.
1. On-Site Operations (Build / Live / Dismantle)
· Support mobilisation planning and site scheduling.
· Coordinate with suppliers during build-up.
· Assist in managing technical handovers and space sign-offs.
· Provide operational support during event days.
· Support dismantle and reconciliation of assets.
Required Experience
· 3–5 years' experience in:
o Event operations
o Overlay delivery
o Temporary structures
o Hospitality events or sports events
· Experience working on live event sites (build-up & dismantle required).
· Experience coordinating with suppliers and contractors.
· Understanding of utilities and temporary infrastructure in events.
Essential Skills
· Strong proficiency in AutoCAD (mandatory).
· Ability to read and interpret technical drawings.
· Understanding of overlay terminology and event workflows.
· Good knowledge of FF&E planning and installation sequencing.
· Strong organisational and time management skills.
· Fluent in English and Spanish.
· Ability to work under pressure in fast-paced environments.
