Role & Team - Facility Coordinator

We are seeking a highly organized and proactive Facilities Coordinator to oversee the coordination and supervision of facility installations and daily maintenance tasks for our coliving and short-stay properties. This role includes managing maintenance activities, coordinating service providers, and supporting the Operations and Customer Care departments to ensure seamless property management.

Key Responsibilities

* Building Maintenance & Operations – Ensure properties remain in optimal condition by supervising and coordinating preventive and corrective maintenance.
* Staff Management – Plan, coordinate, and assign tasks to internal and external technicians, considering technical complexity, affected facilities, resolution timelines, and task prioritization.
* Regulatory Compliance & Workplace Safety – Ensure compliance with safety and health regulations, including licenses and certifications. Conduct regular inspections and implement improvements.
* Vendor Management – Coordinate and oversee service providers to ensure high-quality service. Support the department head in negotiation and contracting processes.
* Budget Control – Assist in budget planning and monitor expenses related to property management.
* Emergency Management – Serve as the primary point of contact for facility-related emergencies and coordinate appropriate response actions.

Required Skills

* Education – Degree in Facility Management, Asset Management, or a related field.
* Experience – Minimum 2 years of experience in facility coordination, office management, or a similar role.
* Technical Knowledge – Strong familiarity with building and apartment systems, maintenance processes, and relevant regulations.
* Languages – Fluency in Spanish and English is required.

What we offer

* Permanent contract with a competitive salary.
* Paid annual leave of 30 calendar days, including bank holidays and weekends.
* Working hours are 9 : 30 AM - 6 : 30 PM, Monday-Friday.
* Meal vouchers of 8 EUR per worked day.
* Hybrid Work (a couple of days remotely, a couple of days from our office located in Justicia's Area, Madrid).
* Company devices (phone and laptop).
