Job Summary
The Export Operations Specialist is responsible for managing and executing all operations related to the professional export division, ensuring compliance with international regulations and providing exceptional service to general clients.
This role requires daily, cross-functional communication with internal departments and international partners to ensure each order is delivered smoothly—from planning through to dispatch.
In addition, the role oversees and coordinates the export administrative team, ensuring efficient, accurate, and timely execution aligned with the division's objectives.
Key Responsibilities
Export Order Management
Manage the full international sales order cycle in close coordination with Area Managers.
Maintain daily communication with the planning department to confirm product availability according to the export schedule.
Coordinate with quality, production, and labelling teams to ensure all regulatory and commercial requirements are met for each market.
Manage non-compliance situations by coordinating corrective actions, including relabeling, dual labelling, and final label approval per country.
Serve as the operational link between departments, facilitating quick incident resolution.
Backoffice Team Coordination
Lead and supervise the export back-office team, ensuring timely and accurate administrative, documentary, and logistics support.
Set priorities, allocate responsibilities, and monitor documentation lead time.
Ensure the team's internal procedures align with customer requirements and quality standards.
Act as the technical and operational reference point for team-related queries.
Market-Specific Legal Requirements Management
Conduct thorough research and documentation of all legal, health, customs, and labelling requirements before entering new markets.
Request, validate, and manage all necessary documentation (health certificates, registrations, authorisations, etc.) for each destination.
Ensure compliance with specific standards required by customers or authorities (e.g., FDA, EU, Halal, Kosher, allergen-free).
International Client Relations
Maintain proactive daily communication with clients' import and purchasing teams.
Resolve queries, coordinate deliveries, provide documentation, and support logistical or regulatory matters.
Conduct after-sales follow-up, managing incidents such as delays, documentation issues, or quality claims.
Coordinate shipments with freight forwarders, carriers, and customs agents.
Ensure accurate and timely preparation of all export documentation: commercial invoices, packing lists, certificates of origin, health certificates, permits, and transport documents.
Manage insurance, international payments, letters of credit, and other contractual conditions as required.
Process Control, Improvement, and Initiative
Apply a critical, proactive approach to identify opportunities for improving export operations.
Propose and implement efficiency measures to reduce lead times and minimise errors in logistics and documentation.
Support the optimisation of interdepartmental information flows to avoid rework and coordination failures.
Collaborate in the standardisation and digital transformation of processes, working with ERP systems and other technological tools.
Anticipate potential problems, mitigate risks, and provide actionable solutions.
Job Requirements
2–4 years of experience in international trade; experience in the food industry is a plus, but not mandatory.
Strong knowledge of international regulations, Incoterms, customs processes, health documentation, and logistics.
Ability to manage multiple tasks with high accuracy and organisation.
Previous experience coordinating teams or functions in administrative or export areas.
Excellent communication and teamwork skills.
Proficiency in English and Spanish; French is highly valued.
Experience using office tools and ERP systems.
