Operations Support / Personal Assistant

Location: Barcelona, Spain

Position Type: Initial 30-day trial period with the potential to transition into a full-time role, subject to successful performance and mutual agreement.

Working Hours: 9 am – 6 pm (Barcelona time, with flexibility within these hours)

Salary: 1,750 GBP per month + Bonus (for the trial period)


About the Role:

Our client is a rapidly growing horticulture and e-commerce company based in the UK, dedicated to delivering high-quality products and services. They emphasize customer satisfaction and continuous improvement. They are seeking a motivated and detail-oriented Operations Support / PA to join their Barcelona office. This role offers an excellent opportunity to support various functions within their operations.


Key Responsibilities:

1. Acquire in-depth knowledge of their product range, including plant care, growth habits, and customer recommendations.
2. Provide exemplary customer service, managing inquiries and resolving issues promptly via email, phone, and web chat.
3. Oversee and coordinate marketing mailouts to retail and trade customers, ensuring at least two mailouts per month for each group.
4. Conduct detailed price and competitor analysis to maintain product competitiveness.
5. Identify and implement opportunities for new products and services.
6. Re-engage dormant customers to increase sales through follow-ups and relationship building.
7. Recommend process improvements across sales, customer service, and delivery.
8. Manage Trustpilot reviews, encouraging positive feedback and upselling.
9. Handle logistical coordination, including booking transport, arranging couriers, and processing invoices.
10. Organize social events to foster a positive team atmosphere.
11. Exercise initiative aligned with company objectives, discussing significant changes with your manager.


Key Targets:

* Develop product knowledge within the first 4 weeks to confidently advise customers.
* Understand internal processes to improve efficiency.
* Contribute to increased sales and customer engagement, especially through marketing mailouts.


Performance Review:

Initial review after 4 weeks covering product knowledge, process understanding, and performance. Subsequent reviews every 3 months to assess progress in customer retention, business development, and seasonal performance.

* Proactive and self-motivated, seeking process and customer satisfaction improvements.
* Punctual and well-organized.
* Minimal personal phone usage during work hours.
* Respectful and positive attitude towards colleagues.
* Organized workspace and adherence to break policies.
