This position will focus on preparing projects and delivering the best service in events that vary between small and medium sizes, formats, leading these events at all times, liaising with clients and all kinds of suppliers. The selected candidate must have demonstrable experience of managing technical briefs, budgeting, presenting, negotiation, and events management, as well as outstanding communication skills with clients, suppliers, and team colleagues.
What You’ll Do on a Typical Day :
* Liaise with the client to handle small & medium meetings with a focus on achieving quality and successful events.
* Research suitable venues for standalone/product launches/internal meetings, offsite dinners, and produce comprehensive and factual proposals including budgets.
* Prepare and manage the event budget template and financials.
* Manage delegates.
* Negotiate and manage third-party supplier contracts, including terms and conditions such as guarantees, attrition, limitations, and cancellation penalties.
* Create event documentation – joining instructions, useful information, etc.
* Conduct post-event reconciliation, including cost savings and evaluation.
* Build and maintain close relationships with clients.
What We’re Looking For :
* Self-confidence and a dedicated, positive attitude.
* Validated experience as a congress/event meeting planner - minimum 3 years experience.
* Knowledge and experience with GDS (Amadeus).
* Proficiency with tools and technology.
* Excellent organization and attention to detail.
* Strong project management skills, able to handle multiple meetings simultaneously, and flexibility to work under pressure.
* Financial competence, including use of Excel, budget creation, and reconciliation.
* Excellent oral and written communication skills, with a focus on presentation.
* Ability to communicate confidently and credibly with all stakeholders.
