Business Analyst – CLM Implementation
Mandatory Qualifications
- Bachelor’s degree in Business Administration, Information Systems, Computer Science, Finance, Legal Studies, or a related field.
- Professional experience as a Business Analyst, with direct experience in enterprise software implementation (legal tech/CLM/contract management preferred) and business requirement gathering.
- Proven experience supporting enterprise software tool selection, RFP/RFI support, and vendor requirement validation for business applications.
- Strong understanding of contract lifecycle management processes, legal contract basics, and corporate compliance requirements.
- Proficiency in business analysis tools and techniques: requirement documentation, process mapping (Visio, Lucidchart), UAT, and gap analysis.
- Working knowledge of common CLM platforms, CRM systems, ERP systems, and e-signature integration fundamentals.
- Strong written and verbal communication skills, with the ability to translate technical jargon into business-friendly language for non-technical stakeholders.
Preferred Qualifications & Soft Skills
- Formal business analysis certification: CBAP (Certified Business Analysis Professional), CCBA, or PMI-PBA is highly preferred.
- Direct hands-on experience with leading CLM tools (Icertis, Agiloft, Conga, Coupa CLM, SAP Ariba) or related legal tech platforms.
- Experience working with legal, procurement, or finance teams on contract process improvement.
- Exceptional analytical skills, attention to detail, and ability to manage complex, cross-functional requirements.
- Strong facilitation skills for leading stakeholder workshops and requirement-gathering sessions.
- Ability to adapt to changing priorities and work collaboratively in a cross-functional, fast-paced project environment.
Core Job Responsibilities
1. CLM Tool Selection Support & Business Requirement Definition
- Collaborate closely with the IS Project Manager, legal, finance, procurement, and end-user teams to define detailed business and functional requirements for the CLM tool, covering all contract lifecycle stages (creation to archival) and compliance needs.
- Translate high-level business needs into structured, actionable functional and technical requirements for CLM tool evaluation; develop requirement traceability matrices (RTM) to map business needs to tool capabilities.
- Lead stakeholder interviews, workshops, and focus groups to gather pain points with existing contract management processes, identify gaps, and define must-have vs. nice-to-have CLM tool features.
- Support the tool selection process by conducting deep-dive evaluations of vendor CLM tools against documented requirements; test demo environments, validate feature functionality, and document gaps between tool capabilities and business needs.
- Assist in developing RFP/RFI documents, compiling requirement checklists for vendors, and analyzing vendor responses to shortlist top CLM tool candidates.
2. CLM Implementation Business Analysis & Process Optimization
- Document current-state contract management workflows (as-is processes) and design optimized future-state CLM workflows aligned with the selected tool’s capabilities and enterprise best practices.
- Work with technical teams and vendors to configure the CLM tool to meet functional requirements, including contract templates, approval workflows, obligation tracking, reporting dashboards, and user access controls.
- Lead user acceptance testing (UAT) planning, test case development, UAT execution, and defect tracking; coordinate with end-users to validate CLM tool functionality and resolve testing issues prior to deployment.
- Support data migration activities by defining data mapping rules, validating legacy contract data quality, and ensuring accurate transfer of critical contract data to the new CLM system.
- Develop user training materials, process guides, and standard operating procedures (SOPs) for the new CLM tool; conduct user training sessions and provide post-go-live end-user support.
- Continuously gather user feedback post-implementation, identify process or tool improvement opportunities, and collaborate with the PM and vendor to implement enhancements.
3. Stakeholder Collaboration & Documentation
- Serve as the bridge between business stakeholders (legal, finance, procurement) and technical teams (IT, vendors) to ensure clear alignment on requirements and deliverables.
- Maintain comprehensive project documentation including requirement specifications, process maps, test plans, training materials, and system configuration documents.
- Ensure all CLM processes and tool usage comply with legal, regulatory, and internal enterprise compliance standards.
