School Facilities Manager

The Facilities Manager plays a central role in maintaining and enhancing the school’s infrastructure and physical operations. The post holder ensures full compliance with legal, health & safety, and safeguarding requirements while delivering smooth, efficient, and high-performing facilities operations. This is a hands-on, visible leadership role that combines strategic planning with operational delivery.
This role is essential to maintaining our reputation as the school of choice in our community. Through collaborative leadership and operational excellence, the Facilities Manager works closely with the School Leadership Team (SLT), ISP’s Regional Property Team, and external vendors to ensure a high standard of maintenance, safety, sustainability, and responsiveness across the entire campus.

* External: ISP Regional Property & Procurement Team, Contractors, Vendors, Local Authorities, Inspectors

* Direct: Head of School / Deputy Head / Head of Finance
* Functional: Regional Facilities Manager and Regional Head of Property & Procurement (ISP)

Key Responsibilities
1. Health, Safety, and Regulatory Compliance
* Ensure compliance with all relevant regulations.
* Maintain and update the school's property data records.
* Coordinate inspections, documentation, and validations with regional teams.
* Keep facilities inspection-ready and conduct proactive checks.
* Report and address non-compliance issues promptly.
* Ensure adherence to policies, manuals, and audits.
* Identify and communicate safety risks, leading necessary actions.
* Meet regularly with the H&S Coordinator to review compliance activities.
* Support audits and ensure timely submission of compliance reports.
* Follow procurement policies and oversee event compliance.
1. Budget Management & Financial Planning
* Lead development of the 5-year development plan.
* Manage small-item Capex budgets and oversee major projects.
* Coordinate with finance on budgets and forecasts.
* Monitor expenditures and propose cost-saving initiatives.
* Ensure proper budget allocation for property-related expenses.
2. Facilities & Maintenance Operations
* Manage the Building Information Management system.
* Supervise maintenance and cleaning teams, hold vendors accountable.
* Monitor contractor performance and review timesheets.
* Ensure timely maintenance and conduct annual walkthroughs.
* Maintain property and equipment registers, implement asset management.
* Coordinate event setup and act as main facilities contact during events.
3. Cleaning, Hygiene & Environmental Services
* Oversee cleaning schedules and SOPs.
* Manage water testing, pest control, and waste disposal.
* Supervise cleaning teams and track KPIs.
4. Security & Emergency Preparedness
* Implement security protocols and monitor coverage.
* Coordinate drills and develop crisis protocols.
* Train staff and conduct threat assessments.
* Manage logistics for security during events.
5. Sustainability & Energy Efficiency
* Promote sustainability initiatives and energy reduction efforts.
* Document improvements and outcomes.
6. Leadership, Team & Stakeholder Management
* Coach and evaluate staff, set performance targets.
* Maintain a culture of service and clear communication.
* Ensure operational plans support school functions.
* Attend weekend events as needed.
7. Strategic Planning & School Development
* Act as liaison with vendors and oversee infrastructure.
* Manage service agreements and procurement initiatives.
* Coordinate staff accommodation and support school initiatives.
8. Operational Contingency & Other Duties
* Manage or escalate operational contingencies.
* Ensure safety practices and organized administration.
* Participate in meetings and perform other duties as assigned.
Working Times & Availability
This is a full-time position with a 40-hour work week, from 08:30 to 17:00, Monday to Friday, with a half-hour lunch break. Evening and weekend work may be required for supervision, events, or emergencies, with compensatory time off provided.
Skills, Qualifications and Experience
* Bachelor’s degree, technical background; Master’s in FM preferred.
* Experience: Minimum 2 years in facilities management; 5 years desirable.
* Technical expertise in maintenance, safety, and infrastructure.
* Excellent communication, planning, and supervisory skills.
* Ability to work professionally, ethically, and collaboratively.
