A Day in the Life
Reporting directly to the EMEA Diabetes Customer Marketing Director, the Training and Education Event Coordinator Specialist will primarily support the planning, development, and execution of EMEA congresses, training and education (T&E) events, and internal events. This role will collaborate closely with the EMEA Convention Program Manager and Training & Education Specialist and will also provide support to the EMEA Contracts Analyst for Health Care Provider (HCP) contracting and payments.
The Event Coordinator Specialist will work in close partnership with EMEA HCP Marketing, Clinical, and Medical teams, as well as with external agencies, legal and compliance, external partners, and local country teams. This collaboration ensures seamless event delivery and an excellent customer experience at all events. For this position, you will be expected to be based in Madrid.
Responsibilities may include the following and other duties may be assigned:
* Manage all logistical aspects of internal and external events, including congresses, trainings, and ad hoc tasks like hotel sourcing and registration
* Negotiate with vendors, confirm venues, arrange catering, travel, and manage changes, shipments, and tracking for seamless event execution
* Collaborate with external partners for attendee management, logistics, printed and digital assets, and ensure effective communication
* Maintain event calendars, support website uploads, manage registration portals, and handle Health Care Provider (HCP) contracts and payments in line with Business Conduct Standards (BSC) and compliance requirements
* Oversee project and budget administration, including cost reconciliation, tracking, timely payments, and data collection/reporting using electronic project management systems
* Ensure knowledge of MedTech congress approvals, compliance with contract agreements, and adherence to local regulatory policies and EMEA compliance limits
* Produce reports for stakeholders, drive continuous improvement, and support EMEA Contract Analyst with compliance understanding and process enhancements
Required Knowledge and Experience:
* Bachelor's or Master's degree with 2+ years' experience in events or project management (agency or client side)
* Fluent in English and Spanish; strong written and verbal communication skills
* Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook); knowledge of SAP, Workfront, and Cvent is a plus
* Strong project and time management skills; ability to handle multiple projects simultaneously
* Positive, proactive, and collaborative team player with a customer-oriented mindset
* Demonstrates integrity, respect, inclusion, and capacity to work remotely
