School Facilities Manager

The Facilities Manager plays a central role in maintaining and enhancing the school’s infrastructure and physical operations. The post holder ensures full compliance with legal, health & safety, and safeguarding requirements while delivering smooth, efficient, and high-performing facilities operations. This is a hands-on, visible leadership role that combines strategic planning with operational delivery. This role is essential to maintaining our reputation as the school of choice in our community. Through collaborative leadership and operational excellence, the Facilities Manager works closely with the School Leadership Team (SLT), ISP’s Regional Property Team, and external vendors to ensure a high standard of maintenance, safety, sustainability, and responsiveness across the entire campus.

* External: ISP Regional Property & Procurement Team, Contractors, Vendors, Local Authorities, Inspectors

* Direct: Head of School / Deputy Head / Head of Finance
* Functional: Regional Facilities Manager and Regional Head of Property & Procurement (ISP)

Key Responsibilities
* Health, Safety, and Regulatory Compliance: ensure full and ongoing compliance with all local, regional, or national regulations;
maintain and regularly update the property data room;
coordinate with regional team for inspections, documentation, and validations;
ensure facilities are inspection-ready;
document and flag non-compliance issues;
adhere to ISP/school policies, manuals, and audits;
identify safeguarding or H&S risks and lead actions;
meet weekly with H&S Coordinator;
perform H&S duties;
ensure risk assessments are completed and acted upon;
support audits and verify required reports before subcontractor payments;
follow procurement policy;
oversee events compliance.
* Budget Management & Financial Planning: lead development of the Five Year Development Plan;
manage small-item Capexbudgets;
deliver major Capex projects with regional team;
plan and track Opex/Capex budgets;
monitor expenditures;
propose cost-saving initiatives;
ensure budget allocation across licenses, payroll, and contracted services;
develop annual budgets for maintenance, security, cleaning, pest control, and related services;
set expense reduction targets;
manage Building Management System (BMS) software, if applicable.
* Facilities & Maintenance Operations: manage BIM;
supervise maintenance and cleaning teams;
ensure vendors meet SLAs;
monitor contractor performance;
review timesheets;
ensure timely and documented maintenance tasks;
conduct annual buildingwalkthroughs;
balance reactive and preventive maintenance;
ensure facilities meet SSLT standards;
maintain property and equipment registers;
implement asset taggingand replacement cycles;
coordinate events facilities readiness with SLT and teams;
act as main facilities point of contact during events.
* Cleaning, Hygiene & Environmental Services: ensure weekly cleaning schedules;
maintain SOPs;
oversee water testing, pest control, waste disposal, and hygiene;
supervise cleaning teams and perform quality checks;
establish and track KPIs and report monthly.
* Security & Emergency Preparedness: implement and monitor security protocols;
ensure CCTV and access coverage;
run fire, lockdown, anddisaster drills;
provide emergency response protocols and crisis documentation;
train staff and conductdrills;
conduct threat risk assessments;
lead event logistics for security and setup.
* Sustainability & Energy Efficiency: promote initiatives with student involvement;
reduce CO2 footprint and energy usage;
document improvements and outcomes.
* Leadership, Team & Stakeholder Management: coach and mentor facilities staff;
set performance targets;
maintain service-focused culture and written communications;
ensure operations do not compromise learning;
attend weekend events only as directed.
* Strategic Planning & School Development: liaise with Operations Team and third-party FM vendors;
manage MEP infrastructure;
oversee SLAs;
identify procurement initiatives;
coordinate with HR/SLT on staff accommodation;
support school initiatives with operational guidance aligned to H&S and sustainability.
* Operational Contingency & Other Duties: manage or escalate operational contingencies;
ensure safe practices;
keep administrative processes professional;
attend weekly operational meetings;
perform other tasks as reasonably assigned.
Working Times & Availability
This is a full-time position with a 40-hour work week. The standard hours are 08:30 to 17:00, Monday to Friday with a 30-minute lunch break.
Evening Responsibilities
Required to conduct periodic evening monitoring, including on-site stop-in visits to supervise the facilities team and check building conditions.
Weekend & After-Hours Availability
Due to irregular working hours, the Facilities Manager is expected to attend school from time to time during weekends or outside regular hours when directed by the School Leadership Team. Compensatory time off is granted at a reasonable time, as agreed with the direct supervisor.
Skills, Qualifications And Experience
* Bachelor’s degree, technical background
* Training or Master’s degree in Facilities Management is a plus
* Senior technician in maintenance of thermal installations would be highly valued
* Minimum of 2 years in Facilities Management (5 years desirable)
* Strong communication, planning, and teamwork skills
* Ability to ensure compliance with FM contract terms and procedures
* Problem-solving, decision-making, and leadership capabilities
* Experience supervising contractors and managing budgets
