MISSION OF THE POSITION:
The PA will support our Local and European Leadership Team. Based in Madrid, they will provide professional, proactive, and confidential support in daily activities, becoming a key member of the Leadership Team.
RESPONSIBILITIES / FUNCTIONS
* Extensive management of the calendar, including coordination and scheduling of internal and external commitments.
* Assist with meeting logistics, including booking rooms, conference details, IT setup, catering, etc.
* Act as the first point of contact for the supported directors, handling inquiries and daily requests.
* Support travel arrangements, including hotel bookings, transportation, visa requests, currency, etc.
* Manage email correspondence as needed.
* Handle expense reports using corporate credit cards and manage expense claims.
* Assist with monthly reports, presentations, and other ad hoc tasks.
* Build key relationships within Condé Nast headquarters and offices worldwide.
* Take notes and follow up on action items from meetings.
* Support Leadership Team members visiting Spain.
* Maintain updated department documentation.
* Help organize internal meetings and events, such as breakfasts, team lunches, etc.
* Participate in PA meetings and build strong global relationships.
QUALITIES VALUED FOR THE POSITION
* Bilingual English (additional European languages appreciated).
* Relevant experience supporting senior executives.
* Experience managing complex calendars and travel arrangements, including visas.
* Highly organized with excellent time management and prioritization skills.
* Excellent written and verbal communication skills, ability to create presentations and spreadsheets.
* Discretion handling sensitive information and maintaining confidentiality.
* Calm and focused personality, capable of managing high-pressure situations professionally.
* Proactive, motivated, and responsible.
* Proficient in Office, GSuite, and Google Calendar.
* Digital-first profile.
