Your Responsibilities And Tasks
* Employment Contracts & Legal Documentation
o Prepare, issue and manage employment contracts in coordination with Central HR.
o Draft and oversee amendments, addenda, agreements and internal arrangements.
o Ensure compliance with applicable collective bargaining agreements.
o Manage probation periods and contract renewals.
o Handle dismissals, contract terminations and related documentation in coordination with external advisors where required.
o Maintain up-to-date and accurate personnel files (in hardcopy and digital).
* Recruitment & Onboarding
o Coordinate recruitment processes for the Madrid office.
o Arrange and manage face‑to‑face interviews.
o Support hiring decisions in collaboration with management.
o Coordinate onboarding processes for new joiners, including documentation, system access and induction schedules.
o Act as liaison between new employees and Central HR during onboarding.
* Time & Attendance Management
o Monitor working hours and ensure compliance with internal policies.
o Review and approve time records and clock‑ins.
o Collect and report overtime, absences, bonuses and other payroll‑related incidences.
o Monitor holidays, leave requests, sickness absence and other authorised absences.
* Payroll & Benefits Administration
o Prepare and submit payroll information to the external accountant or payroll provider.
o Verify payroll slips and resolve discrepancies.
o Coordinate statutory and company benefit payments with the relevant agency.
o Ensure accurate record‑keeping of compensation‑related matters.
* Employee Relations & Workplace Compliance
o Serve as the primary point of contact for employee queries and HR‑related matters.
o Ensure implementation and monitoring of the workplace harassment prevention protocol.
o Promote company values, organisational culture and employee engagement.
o Act as a bridge between management and employees to facilitate clear communication.
o Support conflict resolution where necessary.
* Training & Development
o Coordinate internal and external training programmes.
o Maintain training records and track employee development activities.
o Identify training needs in collaboration with management and Central HR.
* Office Administration & Operational Support
o Oversee HR‑related administrative tasks for the Madrid office.
o Supervise local service providers relevant to HR and office operations.
o Manage office access, including preparation and control of door codes.
o Support the Business and Sales teams with HR‑related administrative processes.
o Assist in the management of client platforms where HR input is required.
* Coordination with Central HR (Berlin)
o Ensure alignment of local HR practices with company‑wide policies.
o Provide regular reporting to Central HR.
o Support the implementation of global HR initiatives at the local level.
o Coordinate audits, compliance reviews and internal reporting requirements.
Qualifications
* You hold at least Bachelor's Degree in Human Resources, Business Management, Law, or Economics.
* At least 4 years of experience in a similar role, ideally within consulting, professional services, start‑up or scale‑up.
* Proven experience in contract preparation and employee data management.
* Excellent communication and stakeholder management skills.
* Strong organisational and time‑management skills, with an exceptional eye for detail.
* Strong understanding of employment law and regulations in Spain.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Native level of Spanish language skills, advanced proficiency of English language and you are confident to work with English in daily business environment.
* Experience in tech or aviation companies is a plus.
