About the RoleQuantum is looking for a meticulous and proactive Finance and Compliance Associate to fully own and operate the financial functions of the business. Based in Madrid, you will be responsible for finance, payroll, tax, compliance, and internal administration across Spain, the UK, and the US, with additional regions expected as we grow.This is a highly trusted and hands-on role that will see you overseeing everything from payments and VAT registration to payroll, contract management, and budget forecasting. You’ll play a pivotal role in keeping our finance operations smooth, and compliant.Key Responsibilities:Global Finance, Tax & Payroll OversightManage all financial operations across Spain, the UK, and the USOversee payroll processing in each jurisdiction, ensuring timely, accurate, and compliant executionRegister and manage VAT and tax obligations globally, in collaboration with external advisorsHandle all company payments, including supplier invoices, employee expenses, and recurring billsReconcile bank accounts across entities and maintain accurate financial recordsLiaise with banks across jurisdictions and manage cash flow movements between accountsBuild and monitor monthly budgets and forecasts, flagging variances and assisting in financial planningSupport investor updates, audit preparation, and executive financial reportingCoordinate all filings and work with local accounting firms to maintain compliance in each regionPolicy Development & Financial GovernanceDevelop and maintain internal finance-related policies, including those covering expenses, reimbursements, vendor approvals, and payment controlsEnsure policies are adapted to meet the regulatory requirements of each operating region (e.g. Spain, UK, US)Educate internal teams on financial procedures and enforce adherence to controls and approval workflowsIdentify gaps or inefficiencies in financial processes and recommend improvementsSupport internal audit preparation and policy reviews for external stakeholdersMaintain policy documentation in collaboration with legal and administrative colleaguesComplianceLegal document management (vendor contracts, NDAs, employee paperwork)Compliance management (GDPR basics, internal audits, risk registers, insurance renewals)Maintain and update a compliance ownership matrix across all departmentsTrack key company obligations (e.g. annual filings, insurance renewals, employee contracts)Monitor and maintain signed employee and contractor agreementsAssist in coordinating GDPR compliance tasks, including data handling documentation and internal policy rolloutsHelp maintain a company risk register and ensure internal policy sign-offs are completedAssist the Head of Corporate Administration to track and renew all necessary company registrations, insurances, and licences on time (UK, Spain, US)AdminManage the daily administrative needs of the Madrid officeAct as a go-to person for internal queries relating to finance or complianceAssist the Head of Corporate Administration with ad-hoc dutiesAbout YouBachelor’s degree in Finance, Accounting, Business Administration, or a related fieldQualified or part-qualified accountant (e.g. ACCA, ACA, CIMA, or Spanish equivalent)5 years’ experience in finance, payroll, accounting, or compliance roles—ideally across multiple jurisdictionsFluent in EnglishStrong understanding of VAT, payroll, and multinational financial complianceSkilled in budget planning, financial forecasting, and cash flow reportingProficient in tools such as QuickBooks and Microsoft 365Highly organised, independent, and detail-oriented, with a discreet approach to sensitive data Nice to haveExperience with UK, US, or Spanish financial and payroll systemsBackground in a startup, scale-up, or international businessFamiliarity with Revolut, Monday.com, DocuSign, or other tools used in finance and operations
