We are looking for an Executive Assistant who has experience running a physical office and can provide exceptional support to a senior executive managing multiple business entities. This role requires someone who is highly organized and resourceful, with strong judgment, professionalism, and the ability to work independently while handling sensitive information with utmost confidentiality. The Executive Assistant will coordinate calendars, oversee administrative operations, support special projects, and build strong relationships with clients and external partners on behalf of the executive.
Responsibilities
* Manage the day-to-day calendar of the executive, ensuring efficient scheduling across two business entities
* Coordinate and maintain digital file archives
* Draft and respond to client and third-party communications on behalf of the executive
* Coordinate and book domestic and international travel arrangements
* Handle general administrative tasks, including the preparation and sending of client invoices
* Support special ad hoc projects and initiatives
* Attend meetings, take minutes, and ensure follow-up on action items
* Assist in creating and maintaining internal processes and procedures
* Liaise with service providers such as tax preparers and legal counsel
* Monitor and follow up with clients and prospective clients regarding engagements and ongoing needs
* Maintain confidentiality in handling sensitive matters and documentation
* Ensure availability during US business hours (9 AM – 6 PM ET or similar), with flexibility to work outside regular hours for urgent matters
Qualifications
* At least 3–5 years of experience supporting C-Suite or senior executives in a fast-paced environment
* Excellent written and verbal communication skills in English
* Highly organized with strong attention to detail
* Professional demeanor with the ability to engage and build rapport with clients
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
* Tech-savvy and resourceful, able to independently troubleshoot and adapt to tools and systems
* Self-starter with a strong sense of initiative, capable of working without close supervision
* Comfortable managing multiple priorities and meeting tight deadlines
* Discretion and integrity in handling confidential information
