Overview We’re looking for a proactive Management Assistant to support Sales Management and keep daily operations running smoothly across the exclusives, listings, and sales departments. Your job is to make sure nothing gets missed: tasks are followed up, communication is clear, and processes stay on track. This role needs initiative, strong organizational skills, discretion, and the ability to handle several priorities in a fast-paced environment.
What You’ll Do Support Sales Management with calendars, priorities, and follow-ups.
Coordinate between sales, listings, and exclusives teams.
Prepare reports, presentations, and meeting updates.
Organize logistics.
Handle correspondence with clients and other parties when needed.
Maintain and update internal systems (HubSpot, Asana, Inmobalia, shared drives).
Assist in recruitment and onboarding of new team members.
Improve workflows, and internal processes.
Spot inefficiencies and suggest smarter ways of working, including better use of digital tools and AI.
What we’re looking for Fluent in English and Spanish. Both written and spoken (other languages a plus).
Strong organizational and multitasking skills.
Excellent communication, both written and spoken.
Confident with Microsoft Office and digital tools.
Detail-oriented, reliable, and proactive.
Able to work under pressure and adapt to last-minute changes.
Problem-solver with initiative — you anticipate needs and propose solutions.
