The Customer Service Representative handles advisory and commercial customer requests, both reactively and proactively, and in line with the relevant guidelines. He/she ensures adequate and reliable customer administration, contributing to customer satisfaction and realization of the commercial targets of the OpCo.
Responsibilities
* Sales and Sales Support: Supports and initiates follow‑up actions by contacting customers (first and second line) and informing them about products to contribute to effective customer communication.
* Product Inquiries: Answers questions about product assortment and applications, provides standard product production details, quotes prices and delivery times. (Re)negotiates contracts for renewals regarding price, specifications and delivery within defined parameters.
* Order Processing and Data Management: Handles incoming orders, monitors, replenishes and enters order data into automated systems, tracks processing, identifies potential problems and ensures timely and correct delivery of relevant information to administration, purchasing and forwarding.
* Product Data Updates: Updates product data in relevant systems, providing up‑to‑date insight into products, prices, and other information, including processing price indexations, adjustments, and entering prices for new products or introducing new products.
* Customer Relationship Management: Manages records, handles all customer requests and incoming orders in line with company policies, registers, administers and updates all customer information, contracts, requests, order data, complaints, and signals in the relevant systems for accurate insight.
* Customer Satisfaction: Logs and resolves all customer problems/requests within prescribed timescales, actively solves problems/complaints, provides support on common issues and ensures customers are appeased.
* Continuous Improvement: Signals bottlenecks in processes, procedures and systems, and contributes to change/optimization of the department.
* Communication & Coordination: Communicates with clients, informs them about solutions to problems/complaints, explains options on alternative products, informs managers on complex issues, conducts correspondence and prepares reports.
* Team Leadership (Level IV/V): May plan, coordinate and supervise activities of the Customer Services team, ensuring optimal work distribution.
