The Role
The Operations Executive is the tactical engine of service delivery within our Academy. This role is responsible for the end-to-end execution of training programs, ensuring seamless coordination between trainers, clients, and partners.
What You’ll Do
* Manage Training Sessions: Make sure all scheduled sessions run smoothly and are delivered as planned.
* Handle Support Tickets: Respond to and resolve requests in HubSpot on time, based on their priority.
* Schedule Trainers: Assign trainers to sessions based on location, language, and skills, and keep backups ready when needed.
* Work with Teams: Stay in touch with internal teams to coordinate sessions and suggest ways to improve how things run.
* Support Trainers: Help hire, onboard, and coach trainers to keep performance high.
* Improve Processes: Spot inefficiencies and help introduce tools that make planning and reporting easier.
* Keep Systems Updated: Make sure all data in internal tools and dashboards is accurate and up to date.
What You Need
* 3+ years of operations or project management experience (preferably in a startup/scaleup).
* Fluent in Italian AND French.
* Strong negotiation skills and an ability to manage risk.
* Strong planning skills with extreme attention to detail in high-volume environments (managing up to 15–20 training sessions per week).
* Excellent verbal and written communication skills.
* Advanced knowledge of Excel for data tracking and analysis.
* Proficiency in project management and CRM tools (e.G., Linear, HubSpot, Asana).
* Familiarity with virtual training platforms (e.G., MS Teams, Disprz) is an advantage.
