Role Purpose
Ensure the smooth daily operation of the office, lead the Facilities function, coordinate the reception role, and provide high‑quality support to the Executive Team (Upper Management). This includes managing corporate travel, vendor negotiations, event logistics, and supporting People & Culture with internal activities and employee experience initiatives.
Key Responsibilities
1. Office Management & Facilities
* Oversee the overall functioning of the office, ensuring a well‑organized, safe, and efficient workplace.
* Lead and manage relationships with facilities‑related suppliers (cleaning, maintenance, office supplies, equipment, courier services, utilities, etc.).
* Negotiate contracts and commercial conditions with travel providers and other vendors.
2. Reception Coordination
* Supervise and guide the Receptionist, ensuring excellent visitor care and phone management standards.
* Provide backup support to reception when needed.
* Welcoming clients and coordinating meetings.
* Following established access, security, and visitor protocols.
3. Corporate Travel Management
* Lead negotiations with travel agencies and ensure adherence to the company’s travel policy.
* Organize and manage travel arrangements for Upper Management team: flights, hotels, transportation, visas, documentation, and any related support.
* Supervise the travel arrangements managed by the receptionist for the rest of the staff.
4. Support to People & Culture
* Assist in the organization of internal events, trainings, onboarding activities, wellness initiatives, and corporate communications.
Requirements
Education
* Vocational or university degree in Administration, Executive Assistance, Business Management, or a related field.
Experience
* 5 years of experience as an Executive Assistant.
* Proven experience managing facilities, suppliers, and corporate travel.
Language Skills
* English level: C1 (required).
