Position Overview
We are seeking an Operations & Office Coordinator – Europe to join our dynamic team in Barcelona, Spain.
You will oversee daily office operations, coordinate logistics, and support administrative tasks across Europe.
Reporting to the regional operations manager, you will ensure our office runs smoothly, manage budgets and inventory, and support sales and finance operations.
This is an on-site role based in Barcelona; no regular travel is required.
Key Responsibilities
Office Management: Ensure efficient day-to-day operations of the Barcelona office.
Manage office maintenance, supplies and vendor relationships.
Maintain an organised and welcoming workspace.
Logistics Coordination: Oversee logistics for new and used inventory, evaluations and rentals.
Collaborate with logistics providers to streamline processes and negotiate terms that benefit the company and customers.
Administrative & Financial Support: Process financial transactions, maintain accurate financial records and provide reporting support.
Manage the office budget, track expenses and process invoices to meet cost targets.
Sales Operations Support: Serve as a backup to the business operations manager by generating official quotes, invoices and delivery orders.
Maintain accurate customer records and documentation in Odoo and HubSpot, ensuring data integrity.
Communication & Correspondence: Handle incoming correspondence, resolve queries and manage internal and external communications.
Coordinate travel logistics and arrangements for staff across Europe.
HR & Finance Support: Provide administrative assistance to HR and finance teams, ensuring compliance with local procedures and regulations.
Customer Invoice Collection: Monitor and collect customer invoices, ensuring timely
