Business Administration Support Iberia (Fixed-Term Contract)

Join to apply for the Business Administration Support Iberia (Fixed-Term Contract) role at Balluff EMEA.

Responsibilities
* Office Management:
Manage office supplies and coordinate with vendors;
manage the company fleet;
oversee maintenance, ITsupport, and general facility issues;
greet and assist visitors and customers;
coordinate insurance policies;
act as main point of contact to third parties (e.G., suppliers, banks).
* Business Administration Support:
Coordinate internal communications and team updates;
prepare business reports and presentations on sales performance and KPIs;
organize management meetings, including scheduling, minute-taking, and tracking follow-up actions;
support onboarding of new joiners.
* Events and Travel Support:
Support office events and social initiatives;
coordinate travel management, including visa requirements and trips for employees on special occasions (e.G., team meetings);
organize sales conferences (presentations, accommodation, dinners/events).
* Finance Support:
Improve processes for direct debit;
assist with basic accounting tasks, check travel/personal expenses and credit card transfers;
invoice processing and sending invoices by post/email.
* Purchasing and Payments:
Main contact and coordination with suppliers and SSC/Accounting EMEA;
monitor budgets and flag overspending;
forecast budgets and implement cost-saving initiatives;
process invoices using SAP;
organize and process refunds;
payroll processing to banking for approval;
manage and process staff expenses;
reconcile credit card statements;
accounts payable/receivable;
support year-end tax and audits with accounting and auditing company.
Qualifications
* Degree in ADE or finance-related field
* Several years of professional experience in a comparable position
* Excellent interpersonal and communication skills
* Ability to work collaboratively in a team environment
* Detail-oriented with strong organizational and time-management skills
* Fluency in Spanish and English is required
* Experience using SAP and Microsoft Office is highly valued
