We are currently seeking a highly skilled International Bid Coordinator with proven experience participating in tenders for the European Institutions.
The primary function is to manage the preparation and submission of high-value, complex tenders, for International Organizations in the ICT domain.
The successful candidate will bring strong expertise in multi-country consortia coordination, compliance-driven proposals, and strategic bid positioning.
Key Responsibilities:
Bid Strategy & Management
* Lead the end-to-end bid lifecycle for European Union (main focus), and other International Organizations-related tenders, from opportunity identification to submission and contract award.
* Define winning strategies aligned with EUIBAs procurement procedures and evaluation criteria.
* Manage complex tender responses, ensuring legal compliance, following corporate deal governance and meeting customer procurement terms and conditions.
Consortia Coordination
* Coordinate and manage international consortia, including partners, subcontractors, and SMEs across multiple countries.
* Define partner roles, governance structures, and engagement models.
* Facilitate collaboration, ensuring timely contributions and alignment with the bid strategy.
Proposal Development
* Oversee the creation of high-quality technical and financial proposals, ensuring clarity, compliance, and competitiveness.
* Draft, review, and refine key sections such as methodology, work packages, staffing, and delivery models.
* Ensure consistency between technical and financial submissions.
Stakeholder Management
* Act as the primary point of contact between internal teams, partners, and external stakeholders.
* Engage with subject matter experts, delivery teams, and leadership to secure the best resources for each bid.
Compliance & Quality Assurance
* Ensure strict adherence to EU tender requirements, formatting, and submission platforms (e.g., eSubmission, Mercell).
* Implement iterative quality assurance processes (reviews, final validation).
Market Intelligence
* Contribute in monitoring EU procurement pipelines, framework contracts, and upcoming opportunities within European Institutions and DIGIT.
* Analyse competitors, market trends, and past awards to enhance win probability
Required Qualifications, Experience and Skills:
* University Bachelor's degree, preferably in Information Technology, Communications, or related field.
* 3+ years of experience in bid management for European Institutions (European Commission, Agencies, etc.).
* Proven track record working on DG DIGIT or IT-related framework contracts (e.g., FWC, DPS).
* Demonstrated experience managing complex, high-value international tenders.
* Hands-on experience coordinating multi-partner consortia.
* Strong knowledge of EU procurement rules and procedures.
* Excellent project management and organisational skills.
* Exceptional writing, editing, and communication abilities in English (C1/C2 level).
* Ability to manage multiple bids under tight deadlines.
* Strong analytical thinking and attention to detail.
Tools & Competencies:
* Familiarity with EU platforms (e.g., Funding & Tenders Portal, eSubmission).
* Proficiency in MS Office and collaborative tools.
* Working knowledge of mainstream GenAI tools.
* Financial modelling, costing and pricing strategy understanding is a plus.
