The Operations Manager supports programmatic operations including intakes, hotline staff coverage, tracking program data, developing data collection and, providing regular and ad hoc programmatic reports, as well as direct oversight of Service Coordinators, Overnight Supervisors, Program Analyst as assigned. This role has oversight of day/overnight and weekend hotline response, as well as survivor support/responsiveness through all survivor communication platforms. The Operations Manager monitors the program’s adherence to Care Coordination recovery protocols and supports program training.Critical Action Items & Measurable Deliverables:
1. Directly supervise operations staff such as Lead Service Coordinators, Service Coordinators, Program Analyst and Overnight Supervisors.2. Ensure the continuity and back up of hotline responses overnight and during the weekend.3. Oversight of survivor support/responsiveness during day/overnight communications with survivors via all communication platforms including phone, text, and social media.4. Ensure the program’s adherence to community recovery Care Coordination protocols.5. Oversee survivor communication platform monitoring including hotline, text messaging, and social media interactions and provides support and feedback to advocates and leadership.6. Provide supportive, accurate, and immediate case guidance for Intake Department.7. Ensure the continuity and flow of the overnight report and briefings from the overnight shift to the daytime shift.8. Effectively analyze data and articulate implications for program, agency, and federal programming.9. Develop and maintain mechanisms to monitor program performance and assess the effectiveness of program interventions.10. Effectively use a variety of software and service platforms, including but not limited to call center technology platforms, SPSS, Salesforce, Talkdesk, Text-line and SharePoint.11. Hire, train, supervise and evaluate assigned staff as needed.12. Meets all deadlines required by supervisor and state and federal partners.13. Meet all federal and state regulatory guidelines and standards that are applicable to this position.14. Identify trends and training needs and develop trainings with senior leadership.15. In consultation with the Director make decisions affecting the safety and permanency of the child and provide guidance to supervisees.16. Ensure assigned team remains within travel expenditure, efficiency, and safety protocols.17. Address performance challenges and ensure assigned personnel meet all deadlines and safety requirements for all cases assigned.18. Ensure teamwork scheduling meets program expectations and protocol.19. Ensure communication up and down the chain is immediate, including all safety concerns and required reporting.20. Participate in scheduled meetings, in-service training and team decisions.21. Work evenings, weekends and holidays as needed or requested by position supervisor.22. Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS HHS employee handbook including demonstrating respect for agency staff, children, and community members and always complying with required dress code.
