The Clerical Medical Office Assistant position is part of the Therapy Services Department and is a full-time role working day shift hours, Monday through Friday, approximately 80 hours per two-week pay period. This position supports the daily operations of the department by providing clerical and front-office assistance while delivering excellent customer service to patients, providers, and staff. Flexibility is required to accommodate practitioner schedules, including vacation coverage and call-offs, as needed.
Qualifications
- High school graduate or equivalent required
- Medical Office Assistant training or relevant medical office experience required
- Medical terminology knowledge and/or Medical Office Assistant training preferred
- Strong organizational, computer, and data entry skills
- Excellent oral and written communication skills
- Professional telephone and interpersonal skills with a customer service focus
- Ability to exercise tact and diplomacy in stressful situations
- Strong decision-making skills based on urgency and patient needs
- Ability to work independently with minimal direction
- Willingness to adjust schedule as needed to support department operations
Key Responsibilities
- Serve as receptionist and clerical support for the Therapy Services Department
- Greet patients and visitors and direct them appropriately
- Answer phones, schedule appointments, and manage patient flow
- Obtain pre-certifications and communicate with insurance companies by phone and electronically
- Perform clerical tasks including typing, filing, report assembly, and maintaining patient charts
- Collect patient information and payments as required
- Order office and clinical supplies to support department needs
- Assist with scheduling outside appointments to ensure continuity of care
- Maintain confidentiality and adhere to all organizational policies and procedures
- Perform other duties as assigned
