Responsibilities
1. Department budget planning, reporting, and assessments.
2. Management of contracts (excluding HCPs) and work orders, including signature processes and file coordination.
3. Updating and managing supplier information, tracking invoices, and resolving incidents.
4. Monitoring and managing purchase orders (excluding HCPs).
5. Supporting the Department Director with scheduling, travel arrangements, expense reports, and Workday delegation.
6. Providing departmental support such as recording meeting minutes, reserving rooms and catering, managing distribution lists and SharePoint, reviewing contracts, onboarding support, and conducting internal satisfaction surveys.
Qualifications
* College degree preferred.
* 8-10 years of administrative experience, with prior experience at BMS and as an Executive Assistant preferred.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, OneNote) and familiarity with BMS systems (ARIBA, Workday, SAP).
* Experience with Concur Travel & T&E, SPO, eSetup, eTime.
* Ability to prioritize, work independently, and collaborate across organizational levels and functions, supporting multiple time zones and workload peaks.
* Positive attitude, high productivity, and adaptability.
* Fluency in English is required.
