This position is responsible for applying a working knowledge of the industry, parts, and shipping practices to execute order‑processing functions that enable Solar to accept orders, ship products, and invoice customers accurately and efficiently. The role involves medium to high complexity across shipping transactions, inventory transactions, and customer accounts, and shares responsibility with department peers for millions in annual parts sales.
This position reports directly to the Manager, Order Administration, or to a senior employee functioning in a supervisory role. Peers in the department include more experienced individuals in the same job family and one administrative staff member in the local office. Each employee is assigned specific customer accounts, with volume and complexity matched to their skills, experience, and level within the job family. This role handles difficult orders processed in the office, with more experienced employees providing assistance on highly complex orders when needed.
The incumbent applies knowledge gained from related roles and works with very general guidance from management and senior department staff. Written department policies and procedures provide direction for most tasks, while unique or non‑standard cases require research, validation of precedent, or application of best practices. This role involves substantial direct customer interaction and represents Solar Turbines to key accounts and prospective clients. External contacts include Solar Distributors, Solar Agents, and Freight Forwarders. Internal contacts include Finance, Treasury, Traffic, Legal, Contracts, Item Master Maintenance, Planning, Purchasing, Field Service, Project Management, Solar Asset Management Services, and Ontario Warehouse staff.
The incumbent processes customer direct shipments, warehouse transfers, customer returns of material, and supports in‑house overhaul requirements. At the New Orleans location, the incumbent also performs shipping and inventory functions.
The role supports all domestic and international service parts requirements for internal and external customers. Responsibilities include receiving and processing requests for quotes, validating part numbers, pricing, and lead times to ensure customer requirements can be met, and preparing and acknowledging quotes with applicable terms and conditions. The incumbent receives customer purchase orders, reviews terms and conditions in consultation with senior staff, identifies discrepancies or conflicts, resolves issues with customers, obtains final agreement, and enters and acknowledges orders.
The incumbent keeps customers informed of order status, resolves issues that arise during the order process, and expedites orders as necessary to meet customer demands. Coordination with other Solar entities is required to ensure orders meet original promised delivery dates, including negotiating priorities when limited parts or competing demands exist. The role includes issuing shipping instructions and defining special packaging requirements, applying a working knowledge of INCOTERMS, export regulations, and customs requirements, and monitoring shipments and invoicing activity to resolve customer concerns.
The incumbent works with Solar Distributors and Agents to coordinate receipt of purchase orders, shipment of orders, and ensure compliance with Solar practices and procedures. For the New Orleans position, participation in after‑hours, weekend, and holiday emergency parts support is required. After‑hours duties may include entering the warehouse, pulling parts for overhaul or repair, packing, and shipping parts. The role requires the ability to lift up to 50 pounds and operate a forklift.
A Bachelor’s degree in Business Administration, Marketing, or equivalent relevant work experience is strongly preferred. The position requires a minimum of two years of related experience, including at least one year working as a Service Parts Administrator or equivalent experience in another company or department. Strong written and verbal communication skills are required, as well as demonstrated proficiency in word processing and spreadsheet applications.
This position requires working onsite five days a week.
