Responsibilities / Tasks
Executive & Administrative Support
Provide proactive administrative and organizational support to senior leadersManage complex calendars across different time zones, ensuring effective prioritization of meetings and business activitiesHandle sensitive business and people-related information with the highest level of discretion and confidentialitySupport follow-up on action items, deadlines, and key initiativesTravel & Expense Coordination
Organize international and domestic travel, including flights, accommodation, visas, and logisticsManage travel expenses, purchase orders, and invoice follow-up in line with company policiesMeetings, Events & Communication
Coordinate leadership meetings, workshops, town halls, and team eventsPrepare high-quality presentations, reports, and meeting materialsSupport internal communication activities, including announcements, newsletters, and leadership updatesStakeholder & Organizational Coordination
Act as a central coordination point across functions, countries, and leadership teams within the NPE organizationCollaborate with HR, Finance, Procurement, IT, and Communications teamsMaintain organizational charts, distribution lists, and team informationCoordinate onsite meetings and leadership visits, including logistics and agenda preparationOperational Excellence & Continuous Improvement
Identify opportunities to simplify administrative processes and improve efficiencySupport the adoption of digital tools and AI-based solutionsContribute to modern, professional communication and collaboration standardsYour Profile / Qualifications
Experience & Education
Bachelor’s degree in Business Administration, Management Assistance, or a related field (preferred)3–5 years of experience in a similar management or executive assistant roleExperience supporting senior leadership in an international or matrix environmentSkills & Competencies
Strong organizational and multitasking skills with high attention to detailExcellent communication and interpersonal abilitiesHigh level of professionalism, discretion, and reliabilityProactive, solution-oriented mindset with the ability to work independentlyTechnical Skills
Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams; Power BI is a plus)Digital mindset with interest in process optimization and AI toolsLanguages
