Associate Event Project Manager

We are seeking Associate Event Project Managers to ensure smooth delivery of our training meetings.

Role Overview

The Associate Event Project Manager primarily manages in-person and virtual event deliverables related to specific clinical studies. They coordinate with vendors, venue managers, delegate coordinators, and internal teams to deliver events on time, within budget, and exceeding expectations. Responsibilities include budget control, delegate management, vendor liaison, and ensuring compliance with healthcare regulations. The role acts as a central contact for clients and internal teams, providing updates and managing solutions proactively.

Activities
* Coordinate delegate invitations, registration, and travel logistics using preferred vendors and platforms (Cvent, Amex, DMCs).
* Manage cost reconciliation and status reporting.
* Review contracts, coordinate terms, and oversee execution.
* Create and maintain detailed project plans.
* Manage post-meeting activities, reporting, follow-ups, and metrics.
* This position may require international travel.
Qualifications
* 2-3 years of experience in international life sciences event management.
* Proficiency in project management tools such as Smartsheet and MS Project.
* Strong customer service skills and attention to detail.
* Experience with live and virtual events preferred.
* Excellent relationship management and communication skills.
* Resourcefulness and problem-solving abilities.
* Adaptability to fast-paced environments and industry trends.
* Knowledge of project management methodologies.
* Ability to organize tasks and communicate effectively.
* Experience with platforms like Cvent, Zoom, WebEx.
* Experience managing relationships with DMCs, AmEx, AV suppliers.
