IES Abroad Madrid is looking for a Student Affairs Assistant.
Function
The Student Affairs Assistant supports the Head of Student Affairs with student housing and student services duties.
Reporting Line
The Student Affairs Assistant reports to the Head of Student Affairs.
Scope of Duties
The Student Affairs Assistant will be involved in all aspects of housing, co-curricular programming initiatives, including on-site Orientation, field trips, social events, moodle, and social media.
Specific Duties
Housing Support
* Address and resolve students' housing issues with Student Affairs Coordinator and Head of Student Affairs.
* Inspect homestays, apartments, and residence halls regularly, maintaining an inventory.
* Participate in the Student Council.
* Provide information and support to homestay families, Residence Halls staff, and Apartment managers as necessary.
* Support the implementation of a site-specific safety and security plan for housing options.
* Help communicate and enforce with students the IES and housing policies.
Co-Curricular Activities
* Help manage and implement Orientation.
* Plan and organize cultural activities, such as one-to-one and group language exchanges, weekend activities.
* Plan and organize cooking classes, Flamenco, and Yoga workshops.
* Organize student activities and integration with Spanish university student life.
* Actively collaborate in IES theatre productions and Flamenco workshops.
* Create and maintain the SS.AA moodle page.
* Support Student Affairs Coordinator in maintenance of the Guided Book.
* Provide information on volunteering opportunities in collaboration with the Student Affairs Assistant at Guadalupe Center.
Health and Safety
* Provide primary assistance to students in physical and mental health needs.
* Participate in a rotating duty schedule to provide emergency coverage.
* Address and resolve individual and group student life issues.
* Participate in field trips, as determined by the Head of Student Affairs.
* Provide opportunities for student leadership.
* Provide immediate information to students regarding transportation, libraries, computer access, local activities, and travel opportunities.
* Process student applications for transportation passes, library cards, and International Student IDs.
* Provide support, conflict resolution, crisis management, mediation, and discipline to a diverse group of students from various backgrounds in collaboration with the Head of Student Affairs.
* Maintain active communication channels with the Head of Student Affairs, Student Affairs leadership within the IES Abroad Spain Cluster, and at our headquarters in the US.
* Organize student social events and programs.
* Answer student inquiries or concerns regarding extracurricular activities, transportation, libraries, and local activities.
* Participate in the Student Council.
Intercultural Development
* Oversee student activities and integration with UC3M, Guadalupe Residence Hall, and Miguel Antonio Caro RH student life to promote intercultural development.
* Articulate the Center’s active commitment to diversity, equity, inclusion, and anti-racism.
Requirements
* Fluency in English and Spanish.
* Tech-savvy: Comfortable using digital tools for administration (among others: Excel, Airtable, Moodle).
* Team player who enjoys working in a collaborative environment.
* Extremely organized and very detail-oriented.
* International profile and experience in working with other cultures or in similar positions.
* Problem-solving skills to quickly address concerns.
* Great written and verbal communication skills.
* Graphic design skills and social media background are desirable.
