As the Academic Records & Registry Officer, you will serve as the primary architect of student documentation integrity, ensuring that the academic achievements of our integral community are recorded, verified, and issued with absolute accuracy. This role is a vital link between our Academic Leadership and the 28,000+ alumni who represent the EU brand worldwide. The Role: 1. Academic Records Management & Credentialing · End-to-End Issuance: Lead the preparation, processing, and formal issuance of all academic credentials (transcripts, certificates, and diplomas). · Quality Assurance: Execute rigorous "zero-error" audits of records, ensuring data aligns perfectly with internal databases. · Document Security: Manage the physical and digital security of diploma paper, seals, and digital signatures. · Lifecycle Maintenance: Maintain impeccably organized filing systems in compliance with OMNES Education Group standards. 2. Strategic Workflow & Internal Coordination · Queue Management: Prioritize urgent graduation or visa-related requests to meet strict institutional deadlines. · Cross-Departmental Liaison: Act as the central communication hub between the Academic Department and the Registry. · Procedural Compliance: Ensure every certificate issued meets the regulatory requirements of our accrediting bodies. · Process Optimization: Support the Coordinator in identifying and solving digital or procedural bottlenecks. 3. Alumni Relations & Verification Services · Alumni Support: Manage requests for duplicate diplomas and academic confirmations for global employers. · Third-Party Verifications: Handle sensitive background check inquiries with strict adherence to privacy protocols. · Professional Correspondence: Draft official letters regarding student status and graduation details. 4. Operational Support & Campus Experience · High-Touch Service: Manage the "Records" inbox with clear, empathetic, and professional communication. · Front-Desk Leadership (Back-up): Act as the secondary "Face of the School" during peak periods, welcoming international visitors and faculty. · Inquiry Routing: Triage walk-in inquiries to ensure a seamless student experience. · Confidentiality: Serve as a steward of student privacy (GDPR/2026 Privacy Frameworks). **Internal Collaboration & Environment** This is a primarily office-based role requiring a high level of physical record management and in-person team synergy. You will operate in a high-responsiveness environment requiring sharp prioritization. Constant engagement with students, alumni, faculty, and counsellors. Direct responsibility for the confidentiality and integrity of all academic records. About You: Eagle Eye for Detail: A "right-first-time" mentality is essential. Tech Savvy: Essential command of Microsoft Excel ; SIS/CRM experience is amajor advantage. Global Communicator: Professional English fluency and the ability to navigate multicultural environments. Discreet: Proven experience handling confidential and sensitive data. Bachelor’s degree: in Business, Hospitality & Tourism, or Marketing.
