Receptionist (temporary position)

We are seeking a proactive and organized individual to join our team temporarily as a Receptionist.

This role involves ensuring the smooth operation of our office's administrative and general services.

Key responsibilities include:

* Visit Reception: Welcome and assist visitors, ensuring professional and positive experience while managing visitor logs and access.
* Incoming Calls Management: Handle and direct incoming call in a professional and efficient manner, ensuring inquiries are addressed or forwarded appropriately.
* Coordination with Building Facility Services: Act as the primary point of contact with the building facility management team to ensure seamless delivery of services, including cleaning, waste disposal, parking management, and office access.
* Coordination with Suppliers: Coordinate with service suppliers, manage quotes and invoice for administrative services.
* Stationery and Office Material Management: Manage the procurement, inventory, and distribution of stationery and office supplies, ensuring availability while optimizing costs.
* Travel Administration: Manage travel arrangements and provide support to users as needed in compliance with the Group's travel policy.
* Courier Management: Coordinate incoming and outgoing courier services, ensuring timely and accurate delivery of documents and packages, and maintaining records for tracking purposes.
* Meeting Room Reservation and Event Logistics: Manage the scheduling and reservation of meeting rooms, ensuring proper setup and availability of required resources. Coordinate catering services for meetings and events, and oversee logistical arrangements to ensure smooth execution.
* Commercial Pool Car Management: Manage the scheduling, maintenance, and availability of the company's pool cars, ensuring proper usage and compliance with company policies.
* Employees' Telephony Management: Oversee the management of employees' telephony needs, including mobile phones and landlines, handling device allocation, troubleshooting, and liaising with service providers.
