This position will closely work with the Head of Customized Programs and Outside Courses, the Head of Academic Administration and Registration, and the Academics team. The Customized Programs and Academic Assistant will help to manage customized programs and will assist other members of the Academics department in general functions.

Job responsibilities & duties Customized Programs Management

Help to coordinate resources for execution of Customized programs with all the other members and departments of the IES Abroad Barcelona team. Participate in arrival and orientation activities for customized programs as designed by Head of Customized Programs, including helping the team at the airport, doing presentations for the students, and accompanying students during field trips, which may extend over one day. Research activities (extra-curricular and curricular) for customized programs. Make bookings and arrange payments for extra-curricular and curricular activities. Provide onsite support to visiting professors and students. Give support in all processes relating to Customized programs, such as: maintaining databases, compile data, planning projects, organizing student’s

Academic Duties

Act as a student academic advisor, advising students by email during the course registration process, and continuing this process on-site in person. Assist other members of the Academics department in general administrative functions, including but not exclusive to exam archiving, midterm and final proctoring, final grade reviews and enrollment and grading data analysis.

Team Duties • Participate in arrival and orientation activities as designed by the Center Director and the Senior Director of Student Affairs, including helping the team at the airport and Resident Halls arrivals, doing presentations for the students, and accompanying students during the study journey. • Participate in Academic team activities, such as accompanying students on field studies, as assigned by the Dean of Faculty and Head of HR. These require familiarization with general safety protocols. • Participate in fieldtrips and excursions, which may extend over a weekend, as determined by the Center Director. This requires training by the Senior Director of Student Affairs regarding general safety protocols.

Experience & Qualifications/Skills o

Competent written and spoken knowledge of English and Spanish. o

Knowledge of Catalan language.

o

Excellent communication skills.

o

High level of organization.

o

Personal initiative and autonomy.

o

Experience living abroad, preferably in the US, and valuable experience working within the context of international education.

o

Familiarity with US educational system.

o

Strong computer skills (Microsoft Office). o

Ability to efficiently manage multiple projects simultaneously in fast-paced environment.

Education Licenses and/or Certifications:

College Graduate in any discipline
