What You’ll Own
Postage & Courier Management
Oversee sorting, tracking, and distribution of mail and packagesNavigate customs for international shipmentsCoordinate with IT to ship and tag office equipment
Preventative Maintenance (PPM)
Lead maintenance projects and prepare presentations or proposalsSpot potential issues early and proactively resolve them
Specialist Duties & Procurement
Become the go-to expert in your facility domainMaintain vendor contracts, purchase orders (Coupa), MSAs/SOWsOnboard vendors and verify invoicesCoach others on procurement processes

Health, Safety & Security
Ensure safety measures and emergency protocols are followedManage badges, visitor access, CCTV access, and security coordinationLiaise with onsite security and property management
Reception & Employee Services
Greet visitors, manage meeting rooms, and answer front desk callsHandle access cards, parking passes, first aid, and mail loggingMonitor office supplies, catering, transport, and cleanlinessMaintain incident reports, COIs, licenses, and certifications
Physical Setup & Stocking
Move office furniture and organize event setups (lifting up to 30kg)Manage inventory of supplies, beverages, and pantry itemsMaintain common areas and meeting rooms
Vendor Management
Coordinate cleaning, recycling, landscaping, and courier vendorsInspect vendor performance and address issuesTrack utilities and ensure compliance (air filters, pest control, etc.)
Budgeting & Reporting
Track office supplies usage and support budget planningPrepare reports on consumption and propose cost-saving improvements
