Personal Assistant
to support the daily operations of our President and Founder, based between London and Barcelona.Key Responsibilities
Project Coordination:
Support the President in managing and tracking small-scale projects, ensuring timely execution, follow-up, and alignment with strategic priorities.Research & Analysis:
Conduct in-depth research on a variety of topics (business, technical, personal), synthesize findings, and present actionable insights.Calendar & Schedule Management:
Organize and optimize the President’s calendar across multiple time zones, balancing priorities and ensuring efficient time use.Travel Planning:
Coordinate complex travel arrangements, including flights, accommodations, ground transport, and detailed itineraries for both business and personal trips.Meeting Preparation:
Schedule meetings, prepare agendas and documents, and take notes to ensure productive outcomes.Stakeholder Liaison:
Serve as a key point of contact between the President and internal/external stakeholders, ensuring smooth communication and timely follow-up.Correspondence Management:
Monitor and manage communications, draft responses, and handle inquiries with discretion and professionalism.Event & Engagement Support:
Assist in organizing professional and personal events, off-sites, and industry engagements.Personal Assistance:
Manage personal administrative tasks such as appointments, reservations, errands, and logistics.Logistics & Office Support:
Oversee logistical needs such as receiving deliveries, coordinating services, and ensuring smooth day-to-day operations.Qualifications & Requirements
Proven Experience:
Minimum 5 years supporting a senior executive or entrepreneur, ideally in an international, fast-paced environment.Organizational Excellence:
Outstanding time management, multitasking, and attention to detail.Discretion & Integrity:
Ability to handle sensitive information professionally.Language Skills:
Excellent English communication skills;
fluency in Spanish required;
French is a strong advantage.Tech-Savvy:
Proficiency with Microsoft Office, Google Workspace, and travel/calendar management tools.Interpersonal Skills:
Strong emotional intelligence, cultural sensitivity, and relationship-building abilities.Proactive Mindset:
Anticipates needs, solves problems independently, and adapts quickly.Industry Familiarity:
Interest or experience in music, audio, tech, or entertainment industries is a plus.Location Requirement:
