**What will the role entail**:
Executive Support to CFBO and COO:
- Organise and maintain their schedules, including scheduling meetings, appointments, and events, ensuring efficient use of their time and prioritising important tasks.
- Act as a central point of contact for internal and external communications, phone calls, and correspondence ensuring messages are relayed promptly and accurately.
- Prepare, edit, and format documents, reports, presentations, and other materials as needed, ensuring accuracy, consistency, and confidentiality in all communications.
- Coordinate travel arrangements, flights, accommodations, transportation, and any necessary visas or documentation for trips, ensuring smooth logistics and adherence to company policies.
- Provide general administrative support such as expense tracking, filing, record-keeping, and other tasks as assigned, contributing to the overall efficiency and effectiveness of their daily operations.
Office Management Support:
- Regularly check facilities to ensure smooth operations.
- Organise maintenance suppliers to cover all needs at the Barcelona Offices.
- Handle catering arrangements, coffee services and any other hospitality needs.
- Facilitate the introduction of invoices and related processes. Oversee and manage the responsibilities of the reception area.
- Provide support for events as needed.

**Job Competences**:
- Minimum 5 years, preferably in roles involving executive/office support.
- Fluent in English; Spanish proficiency a plus.
- Technical Proficiency: Excel, Google Suite, and Microsoft Office.
- Organisational Skills: Manage complex calendars, prioritise tasks, and handle multiple projects efficiently.
- Communication: Strong written and verbal skills.
- Confidentiality: Handle sensitive information discreetly.
- Attention to Detail: Ensure accuracy and quality in all deliverables.
- Time Management: Optimize schedules and meet deadlines.
- Problem-Solving: Anticipate needs and propose solutions.
