THE ROLEWe are looking for a Volunteer Event Project Manager & Production Lead to take ownership of all operational and logistical aspects of the event, from planning through execution and wrap-up.
This is a hands-on, high-responsibility role. You will be the operational backbone of the weekend, allowing the Lead Organizer to focus on experience design, community building, and relationships. You will coordinate vendors, volunteers, and logistics, and you will be on the ground for all three days making sure everything runs on time and without friction.
Commitment: Approximately 15–20 hours per week from now until the event (May–June), with full on-site presence required June 12–14.
WHAT YOU WILL OWN
With assistance from the Core Team of Volunteers - don't worry, you're not alone!
Build and maintain the master project tracker and run-of-show document
Coordinate venue setup, AV, catering, and all vendor logistics
Manage printing and production of all event materials (badges, signage, schedules, swag bags, t-shirts)
Recruit, brief and schedule a volunteer team across all three days
Manage participant communications: confirmations, reminders and day-of information
Liaise with sponsors, mentors, and judges — collecting assets, sending briefing documents and confirming logistics
Schedule mentor/group rotations and related logistics
Schedule and conduct a full venue walkthrough and team briefing(s) in the week before the event
During the Event (June 12–14)
Coordinate check-in and registration on Friday
Manage pitch sign-up, timing, and voting logistics on Friday evening
Oversee mentor rotation and workshop scheduling throughout Saturday
Coordinate all catering across seven meals and breaks
Manage the final pitch session on Sunday — running order, AV, judge coordination, and awards ceremony
Manage urgent needs from volunteers
Troubleshoot anything that comes up, in real time
Manage the relationship with the venue (Las Naves), including ensuring all pre/post event needs are met
Collect participant feedback and compile a summary report
Archive all event assets and documentation
Co-write a retrospective to inform future editions
WHAT WE ARE LOOKING FOR
Strong organizational and project management skills - you can hold many threads at once
Experience coordinating events, teams, or complex logistics (professional or volunteer)
A proactive, calm-under-pressure attitude - you solve problems before they escalate
Clear communicator who can manage vendors, volunteers, and stakeholders simultaneously
Comfort working with digital tools (some level of AI fluency, shared docs, task trackers, communication platforms, i.E. Notion)
Fluency in Spanish and English
Network AccessYou will work directly alongside the lead organizer and be embedded in the Valencia startup ecosystem at its most active moment. You will have direct contact with investors, VC mentors, judges, successful entrepreneurs, and institutional partners, including representatives from Valencia Innovation Capital and Ayuntamiento de Valencia.
Foundational PositioningYou will be among the first people to build what we intend to become the Techstars Accelerator in Valencia. Early contributors to this initiative will be first in line as it grows into something larger: a community partnership, recurring events, and ultimately a full accelerator program.
Skills DevelopmentYou will gain practical experience in event production, stakeholder management, vendor coordination, volunteer leadership, and real-time operations;
all within a startup context.
CommunityYou become part of the core team building the entrepreneurial community in Valencia. The relationships you build here, with the team, the participants, the mentors and the partners, are lasting ones.
