About the Role
We are looking for an
Assistant Office Manager
to support the efficient daily operations of our Madrid office on a temporary basis to cover a maternity leave. Reporting directly to the Office Manager, the role will ensure a welcoming and well‑organized environment for employees and visitors and assist in the implementation of office policies, procedures, and services.
Key Activities and Responsibilities
Support the management of everyday office duties, including reception.
Oversee visitor interactions to ensure a friendly, personal experience.
Maintain peak operations, implementing preventive measures for potential issues.
Assist in the implementation of policies and procedures, measure outcomes against standards, and improve operational flow.
Coordinate internal and external resources and cultivate relationships with vendors.
Respond to requests and questions about office operations.
Maintain office efficiency by managing common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
Act as the main point of contact in the reception area, providing day‑to‑day oversight and reporting to management regularly.
Provide direct administrative support as needed: scheduling appointments and meetings, booking travel, maintaining file systems, mailing and shipping packages, and updating contact databases and employee lists.
Maintain office equipment, identify needs, acquire supplies, manage vendor relationships, and coordinate food deliveries when requested.
Ensure the onboarding process for new employees.
General Skills / Attributes
Bachelor’s degree or equivalent.
One or more years of experience in office management.
Strong time‑management and people skills, high flexibility, and excellent multitasking ability.
Proficiency with office applications and aptitude for learning new software and systems.
Ability to maintain confidentiality of company information.
Experience in developing internal systems.
Advanced computer skills and experience with online platforms.
Fluency in English and Spanish.
