Job Description
The Finance Administrator reports to the Finance Manager, South Australia and is responsible for ensuring support for all finance and administrative aspects of Project Management is conducted in an efficient and timely manner, with a high level of accuracy.
The Position
The role requires close and regular interaction with Operations and Engineering staff across multiple project sites, so building rapport with project delivery teams is key.
* Docket Management: Perform and coordinate the daily tracking of project data (e.g., plant, labour, subcontractors). Monitor and maintain the company’s in-house project management and docket system.
* Support payroll by monitoring and following up on the daily recording of timesheets by Project Supervisors, and directly performing timesheet entries.
* High volume accounts payable: manage AP inboxes for multiple projects in delivery, follow up for invoice approval and cost codes, and liaise with suppliers to correct discrepancies.
* Raising and distributing purchase orders in a timely fashion
* Support projects with project administration including booking travel, maintaining site amenities, and other ad-hoc assistance to project teams
* Support contract administration including preparation of progress claim files, writing variation orders, coordinating signing and approvals
Required Skills and Competencies
* The successful candidate will work across multiple projects and require strong time management skills and the ability to prioritise tasks
* Able to adapt, solve problems and be a team player contributing to a positive work culture
* Experience in high volume accounts payable and docket management with ability to learn in-house finance systems (training provided)
* Experience dealing with a large volume of suppliers and ability to build and maintain relationships
* Must have own transport / current driver’s license
